Job Title: Administrative Assistant
Job Description
The Administrative Assistant will provide exceptional customer service to building tenants and support the Facilities Managers. This role involves creating work orders based on provided information, contacting vendors for quotes and updates, and handling various administrative tasks. The Customer Service Department operates from Monday to Friday, with shifts from 7 AM to 3:30 PM and 11:30 AM to 8 PM, including a half-hour lunch break.
Responsibilities
Process orders efficiently to meet customer needs.
Prepare professional correspondence to facilitate communication.
Fulfill customer needs to ensure satisfaction.
Answer phone calls and address inquiries promptly.
Create and manage work orders diligently.
Handle North Tank Farm fuel ordering and tracking.
Request stock quotes and manage past due orders.
Produce videos and handle special requests.
Essential Skills
Proficiency in administrative support and customer service.
Strong Microsoft Office skills, including Excel, Word, PowerPoint, and Outlook.
Ability to process orders and prepare correspondence efficiently.
Excellent phone etiquette and work order creation skills.
Additional Skills & Qualifications
High School Diploma or GED required.
Pursuing a college degree in Business, Environmental, or Engineering discipline is preferred.
Customer service experience, especially in call center or facility administration, is advantageous.
Ability to handle multiple tasks and manage time effectively.
Database experience is helpful.
Strong interpersonal and people skills are essential.
Experience interacting with skilled trades, housekeeping, union personnel, and executive management preferred.
Pay and Benefits
The pay range for this position is $21.20 - $21.20/hr.
