EXECUTIVE SECRETARY

Position Summary:
Duties performed are of a complex and varied secretarial/administrative support nature for the Statistics, Actuarial & Data Sciences department. This is the most senior level secretarial job, and while it incorporates elements of other levels, it has a majority of effort associated with complex secretarial support services, including handling substantive secretarial/administrative details and duties for the department chairperson. This position functions with a high degree of autonomy.
Required Qualifications:
High school diploma or GED .
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the position.
Preferred Qualifications:
Effective use of personal computer.
Experience with SAP system and CMU’s Data warehouse.
Experience with Perceptive Content.
Proficient with Microsoft Word, Excel, and PowerPoint.
Duties & Responsibilities:
Maintains and analyzes set of complex budgetary records for several accounts by performing bookkeeping related duties such as reconciling, monitoring, making, and tracking expenditures.
Acts with a high degree of independence as a liaison with students, visitors, faculty, staff, and other individuals both on and off-campus.
Answers phones and greets visitors to the department.
Answers questions and assists with problems of students, faculty and others.
Creates and maintains personnel records.
Creates summer payroll for department and grants, if applicable.
Prepares biweekly staff payroll; enters and approves student hours in Timelink; verifies hours worked and maintains department spreadsheet of hours worked.
Assists with coordination and organization of advertising and recruitment of regular and temporary faculty and staff, including correspondence, file maintenance, hotel accommodations, creation of candidate itineraries and volunteer sheets and reimbursement of expenses.
Interviews, hires and supervises student employees.
Assists with preparation and implementation of the department’s graduate assistant orientation.
Assists with assignment and movement of department faculty and graduate students’ offices.
Coordinates meetings for various department activities and schedule faculty for commencement.
Assists with maintenance of department chairperson’s calendar.
Maintains keys and key list for the department.
Creates purchase requisitions and invoice vouchers as needed.
Assists in maintaining department credit card and ensures accurate recording of expenses.
Updates surveys from various outside organizations as needed.
Assists with planning and coordinating department events.
Assists with awarding of department scholarships.
General office duties: maintaining department files, photocopying/scanning, pickup and deliveries of office related items.
Enters and maintains data in STAD grad website.
Maintains a spreadsheet to monitor the funded and non-funded students activity, classes, qualifying exams and teaching schedules.
Creates surveys, posts announcements, qualifying exams and schedules for grad students on Blackboard.
Assists with the graduate student application process.
Under the guidance of the department chairperson and associate chairperson, makes GA teaching schedules, classroom assignments, classroom changes, adds/cancels class requests and registers students.
Coordinates all activity for the Student Opinion Survey, which includes preparing individual packets for instructors, handing out packages, making sure each package is filled out correctly and directing students’ assistance.
Orders all instructor textbooks for the department and works with the bookstore and publishers to ensure proper books are stocked for students.
