JOB SUMMARY:
The job of the Receptionist first and foremost is about providing the greatest possible experience to our customers as a representative of first impressions. The Receptionist will greet, assist, and provide direction and information to clients, visitors, and other guests of the organization. A main facet of this job is answering our incoming calls and either helping them directly or giving the customer immediately to someone on the customer experience team who can.
ESSENTIAL FUNCTIONS:
- Greets clients, visitors, and guests; determines the purpose of each person's visit and directs or escorts him or her to the appropriate location.
- Take incoming calls and route them appropriately within the company.
- Receives mail, documents, packages, and courier deliveries and delivers or distributes items.
- Customer service calls will be handled as appropriate and documented according to our call procedures always with the customer experience as the most important focus.
- Performs administrative and clerical support tasks.
- Performs basic filing and recordkeeping.
- Batching checks for posting.
- Other office and administrative duties as assigned.
KNOWLEDGE, SKILLS AND ABILITIES:
- Bilingual in Spanish and English preferred.
- Able to handle multiple tasks simultaneously.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Proficient organizational skills and attention to detail.
- Proficient time management skills with a proven ability to meet deadlines.
- Proficient with Microsoft Office Suite or related software.
- Ability to convey information effectively through written and verbal communication. This may include written reports or correspondence or to speak with internal and external customers.
- Ability to work independently on tasks as well as in a team environment.
- Ability to apply math skills such as percent's, ratios and interpret graphs and charts.
- Typing speed averages between 50-60 words per minute.
