Legal/Executive Assistant

The Executive Administrator is responsible for exercising independent judgment and considerable initiative to provide a wide range of administrative & managerial support to the CEO/President. Responsibilities include preparing reports and data analysis, strong computer and research skills, flexibility, excellent interpersonal skills, project coordination and the ability to work well with all levels of internal management and staff, as well as outside clients and vendors.
Responsibilities:
- Representing the organization in legal proceedings when necessary.
- Collaborating with other departments to ensure legal compliance in business activities.
- Providing training to employees on legal matters and compliance requirements.
- Provide administrative support to the legal department and assist with legal research & documentation
- Contract compliance, termination and renewal dates
- Insurance compliance reviewing COI’s from service providers, vendors, etc.; validating certificates are current.
- Manage daily administrative operations of the legal department and assist in the planning and management of the department’s budget.
- Coordinate legal communications, including taking calls, responding to emails, and interfacing with clients.
- Maintain and update databases and tracking systems for various legal matters.
- Assist with case preparation, opening and closing files, scheduling, and coordinating appointments.
- Advising senior management on legal implications and potential risks.
- Manage calendar of CEO
Required skills:
- Associate degree in paralegal studies or related field
- Excellent organizational skills and attention to detail
- Familiarity with legal terminology
- Proficient in Microsoft Office, with capability to learn new software & systems
- Strong communication and interpersonal skills
- Discretion and confidentiality in handling sensitive information

*This position is 100% onsite.
