ADMINISTRATIVE SECRETARY

Position Summary:
This position is responsible for coordinating and delivering student services for the College of Medicine in the Office of Student Affairs (OSA ). Primary activities include coordinating various events and services to support the students in the College of Medicine related to the activities for Student Affairs across all four years.
Required Qualifications:
High school diploma or GED .
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Duties & Responsibilities:
Supports activities related to College of Medicine Special Interest Groups (SIG ) for students.
Assists the Associate Director with monitoring student funding allocation process including programming and travel and assists with the coordination of the annual SIG “Get Involved” fair.
Maintains the Office of Student Affairs (OSA ) calendar of events, including tracking and creating evaluations for all OSA events/programs, volunteer hours, and other SIG activities.
Processes student lounge maintenance requests and ordering/monitoring of supplies and coordinates student kitchen/locker clean-up & removal.
Assists with student special event programs including the monthly Lunch & Learn presentation series for students which includes making speaker arrangements, coordinating catering, offering technology assistance, and other logistics needs.
Supports the Associate Director with the facilitation of the CMED SIG , Medical Student Council (MSC ), and committee student elections.
Assists with coordination of monthly multicultural programs and events for students across all four years.
Assists with the recruitment of Dean’s Ambassadors and the coordination of professional trainings.
Assists with the coordination of the Gold Humanitarian Honors Society.
Assists the Associate Dean of Student Affairs and Assistant Director with the Medical Student Performance Evaluation (MSPE ) process which includes assisting with information transfer to templates, checking for accuracy of information, assisting with editing, and uploading letters to the resident application system.
Assists with compliance tracking including monitoring attendance in conjunction with the Associate Director. May handle sensitive student information with confidentiality and discretion.
Assists with student related events such as white coat, orientation, graduation, match day, and other student affairs related events. May assist with calendar scheduling and credit card reconciliation of associated Student Affairs staff as needed.
Requires occasional evening and weekend work and travel to CMED’s Saginaw Campus for events and student support.
