As an Administrative Assistant you will provide daily administrative support to the Commercial Isocyanates and Inorganics VP and Business Director(s) and assisting with office management with the SVP Administrative Assistant. Among other tasks you will be in charge of travel arrangements, calendar management, event planning, meetings, processing expense reports for VP and Business Director(s) and participating in special projects as needed.
During your 8-hour day shift as a Administrative Assistant, you will
Plan andcoordinateinternal global, regional, and local staff meetings, operating independently to manage the creation of the agendas, setting deadlines for submission of required meeting documentation, documentation of meeting minutes and action items. These staff meetings include the department's Yearly Kick Off meetings, Annual Sales Meeting, Monthly Staff meetings & Quarterly Business Reviews.
Activelysupport the Business Development, Business Management, Account Management and Marketing & Communications teams in the planning, coordination and execution of BASF customer events and outings, as well as participation in external industry events. Activities involve managing the event budgets, working with vendors/suppliers, managing invitations and RSVPs and coordinatingcommercial meeting schedules.
Create Purchase requisitions, check requests, direct payment invoices, process workcycles, track vendor payment status, identify & solve vendor/invoice payment delays. Process charitable contributions & Y/E accounting management. Identify opportunities to reduce waste and improve efficiency in office administrative tasks. You will also ensure all vendor invoices and expense receipts are fully compliant BASF's Code of Conduct and timely submitted for payment processing through their respective payment systems. Report in a timely manner any potential non-compliance to supervisor.
Assist in onboarding New Hires, create and maintain a checklist of actions to facilitate a smooth onboarding experience for all new employees. You will also monitor the completion of all mandatory training for all CMN employees based in Wyandotte, MI, assigned through Success Factors, and establish monthly notifications to all Wyandotte CMN employees of past due and coming due learning assignments.
Support general office management by maintaining email distribution lists, assigning access to business folders, maintaining customer contract files in SharePoint and Iron Mountain, purchasing and stocking supplies for West Admin 1 & 2 floor kitchens and office supplies.
If you have...
BA/Accounting degree (preferred)
5+ years of relevant working experience
Exceptional knowledge of Microsoft Applications
SAP working knowledge (preferred)
Motivation to collaborate across multiple teams and taking initiative and ownership in ambiguous and new situations
