Position Description:
-Support leadership team with all systems including but not limited to e-mail (including monitoring for priority e-mails), prompt handling of signature requests, voicemail, HR Online, and cell phone services, etc. - Responsible for general office management and organization including maintaining electronic filing system and record retention, e-mail correspondence and daily schedule and meeting preparation - Schedule meetings, often involving global personnel and locations and use of WebEx technologies - Resolve meeting requests and conflicts in a timely and efficient manner - Provide high quality administrative support on the development and preparation of organization charts, reports, communication and correspondence, spreadsheets, Power Point presentations etc. - Coordinate and organize all travel plans including scheduling, itineraries, travel expense reports (TER) submissions and reconciliations - Coordinate and reconcile all approval requests (domestic and international) for the organization that require VP approvals - Represent office in a professional manner on phone, e-mail, and in person and interface effectively with employees at all levels - Maintain the highest level of confidentiality and manage sensitive information with extreme care - Maintain and follow-up on assignments and requested information as required - Facilities Coordination including working with Submit MAC (move Requests) and manage space utilization for onboarding employees. Also, order supplies, manage loaner equipment and overall coordination of office operations
Skills Required:
- Good administrative skills with prior experience - Good communication skills - Good coordination and office management skills
Experience Required:
2-3 years of prior experience providing administrative support
Experience Preferred:
Managing multiple senior executives at the same time along with providing office management
