Description
Under the supervision of the Public Health Project Coordinator - Planning Council, the Administrative Assistant IV - HIV/STI Care-Prevention organizes and expedites office
management activities for Southeastern Michigan HIV/AIDS Council (SEMHAC) as well as manages HIV/STI Prevention program budgets, including, but not limited to the development and adjustment of budgets using Excel; coordination of budgeted funds across multiple programs; and review all processing and approval of expenditures. The Administrative Assistant IV - HIV/STI Care-Prevention maintains project timelines and progress reports, organizes meetings and calendars under competing priorities and deadlines, and provides expenditure updates to the Public Health Project Coordinator - Planning Council, HIV/STI Prevention Program Manager, and the Director. A successful candidate must be knowledgeable of the procedures, techniques and practices involved in carrying out the work of the Planning Council, familiar with all conditions of grant awards, and is comfortable prompting management regarding due dates. This role is responsible for maintaining complex tracking and filing systems, including Excel spreadsheets and serves as the primary liaison with the City of Detroit Office of the Chief Financial Officer (e.g., Office of Grants Management) and auditors.
Examples of Duties
Support preparation of materials for meetings and presentations by the Public Health Project Coordinator - Planning Council and Council Chairs.
Coordinate all meeting and event logistics.
Liaise with stakeholders across the public health ecosystem, as needed.
Assist Planning Council Coordinator with the Assessment of the Administrative Mechanism, Priority Setting and Resource Allocation, and Comprehensive Planning activities of SEMHAC.
Create and maintain Excel spreadsheets that support the monitoring and coordination of funds across multiple programs.
Develop, adjust and monitor budgets/expenditures in coordination with the Coordinator, Manager, and Director.
Review and approve requests for payment of contracted goods and services of the program and all internal costs incurred in accordance with funding source requirements, prior to forwarding such requests to Managers and the Director for approval.
Communicate with senior administrators, internal staff and various external agencies and organizations.
Assist with research, preparing analyses of information/financial data.
Create, format and proofread a variety of materials, including correspondences, meeting notes, agendas, policies and procedures, templates and emails.
Maintain spreadsheets and systematic filing systems.
Conduct periodic review and evaluation of fiscal spreadsheets to ensure the accuracy of information.
Assist in the development and revision of internal policies and procedures, and maintain these records in the program.
Oversee the process of developing and maintaining assurance documents for maintenance of effort and sub-recipient monitoring assurances.
Assist with the development of the annual applications and associated reports, as needed.
Adhere to policies and procedures for financial monitoring and reporting.
Strengthen information sharing among multiple staff in the programs and City structure to ensure that all areas are provided necessary information.

City Employees Retirement System
As a regular City employee you automatically become a member of the General Retirement System. This entitles you to a retirement allowance after:
Completion of thirty (30) years of service;
