Job Description: We are seeking a detail-oriented and organized Administrative Assistant to join our team. The Administrative Assistant will play a crucial role in supporting the daily operations of our property management office. This position requires excellent communication skills, strong multitasking abilities, and a proactive approach to problem-solving.
Responsibilities:
- Provide administrative support to property managers and leasing agents, including answering phones, responding to emails, and managing calendars.
- Assist with tenant inquiries, lease agreements, and rental applications.
- Coordinate maintenance requests and communicate with vendors to ensure timely resolution of issues.
- Maintain accurate records and databases related to property management activities.
- Prepare and distribute notices, correspondence, and other documents as needed.
- Assist with the preparation of financial reports, invoices, and budgets.
- Coordinate property showings and assist with the leasing process as required.
- Assist with the organization and scheduling of property inspections and maintenance checks.
- Monitor office supplies inventory and place orders as needed.
- Perform other administrative tasks and special projects as assigned by management.
Requirements:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Proven experience in an administrative role, preferably in property management or real estate.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and property management software.
- Excellent communication skills, both verbal and written.
- Strong organizational and multitasking abilities with a keen attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment.
- Knowledge of Fair Housing regulations and property management best practices is a plus.
- Positive attitude, reliability, and a willingness to learn and adapt.
