Job Summary:
Responsible for preparing and scanning a variety of customer documents. This includes the tasks of arranging documents in prescribed order and format, inserting targets at customer request, and repairing documents as needed. Scans documents on a variety of scanning equipment including microfilming cameras. Verifies input data to ensure accuracy of completed work, scans and edits work for errors during processing.
KEY RESPONSIBILITIES:
DOCUMENT SCANNING:
Operate document scanning equipment to convert paper documents into digital images.
Ensure the accuracy and quality of scanned images.
IMAGE PROCESSING:
Enhance and optimize digital images to improve clarity, readability, and overall quality.
Perform image cropping, rotation, and other adjustments as needed.
DATA CAPTURE:
Utilize Optical Character Recognition (OCR) technology to extract text and data from scanned images.
Capture and input metadata associated with each document or image.
QUALITY CONTROL:
Conduct thorough quality checks on scanned images to identify and correct any errors.
Ensure compliance with established standards and guidelines.
DIGITAL ARCHIVING:
Organize and maintain digital archives of documents in a systematic and easily retrievable manner.
Implement best practices for digital document storage and management.
TECHNOLOGY UTILIZATION:
Stay current with imaging technologies and software tools.
Collaborate with IT teams to implement and maintain document imaging systems.
Collaboration:
Work closely with document management teams, records managers, and other relevant stakeholders.
Communicate effectively with team members to coordinate tasks and ensure project timelines are met.
Security and Confidentiality:
Adhere to security protocols to ensure the confidentiality and integrity of scanned documents.
Implement measures to protect sensitive information during the imaging process.
PRINCIPAL ACCOUNTABILITIES:
In this position, either directly or through others, the incumbent will:
Prepare documents according to job instructions per each client's specifications.
Prepping documents may include; alphabetizing, putting documents in numerical order and/or date order, removing staples, etc.
Ability to identify different document types.
Follow instructions and communicate with supervisor or trainer when appropriate to ensure customer expectations are met.
Maintain a record of completed work.
Maintain confidentiality and security of client information per client guidelines.
Maintain levels of productivity and quality based on department standards.
Additional responsibilities and duties may be assigned based on business need.
KNOWLEDGE/EXPERIENCE/SKILLS:
Minimal requirements for education, knowledge, and experience:
High School Diploma or GED.
Familiarity with imaging software and technologies.
Strong organizational and multitasking skills.
Good communication skills.
Ability to use a personal computer.
Ability to work independently in a team environment.
Detail-oriented.
Good time management skills.
PHYSICAL/MENTAL DEMANDS AND WORKING CONDITIONS:
This position requires the ability to perform the essential duties and responsibilities in the following environment:
Work schedule is Part-time and generally consists of 24 hours per week, which may include on-call status, evenings, and/or weekends.
May be required to spend long periods sitting with close visual acuity to the personal computer.
High levels of repetitive motion daily
Ability to lift 20 - 50-pound containers.
