GENERAL SUMMARY:
Acts as assistant to Officer group providing administrative support. At times will coordinate and designate work projects to staff. Works independently in accordance with general business standards, established company policy, precedent, and government law. Reports directly to President.
QUALIFICATIONS:
Associate degree or equivalent experience in business desired. Good organizational and administrative skills required. Strong written and verbal communication skills required. Requires experience or training in computer software applications.
DUTIES:
- Maintain records of Executive meetings including agendas, prepared documents, and minutes
- Serve as In-House EOS Coordinator
- Coordinate travel arrangements, reservations, meetings, business luncheons and appointment schedules
- Coordinate the planning and execution of company parties, special functions, birthday luncheons, team awards, WOM presentations, anniversary celebrations and Christmas baskets for current employees and retirees
- Participate and communicate, as needed, with and assist all departments as assigned by Officers
- Participate in the continuous improvement, research, and recommendations for all operational processes
- Carry on assignments outside of Rima requested by the Owners and Officers
- Purchase supplies for all meeting rooms
- Assist in maintaining safe practices for all employees
- Maintain a clean, safe, and efficient work environment by following the 5S principles.
- Complete all other specially assigned tasks or projects.
- Receptionist Duties as needed, to include covering phone, visitors and sorting the daily mail
RESPONSIBILITY, ACCOUNTABILITY AND AUTHORITY:
- Scheduling and maintaining all Executive Officers Committee’s L10 records and files.
- Responsible for all organization of the President’s appointments, all calendars, meetings, and events.
- Responsible for organization of the Owners calendar for Rima IC Disc Meetings and minutes
- Monthly and Quarterly Operations Books meeting schedules and populating those reports along with Rima Goals and to do lists generated from meetings.
- Coordinate and communicate memos and cascading messages from the Officers
- Scheduling, coordination, preparation of packets and recording of minutes of Director’s Meetings
- Lead the planning, communication and coordination of employee events working with Human Resources Manager.
- Process requests for all charitable giving and political donations along with maintaining the yearly file of all Rima, personal and professional, donations.
- Maintain discretion and confidentiality on all matters pertaining to Owners, Board of Directors, Officer Group and the office of the President.
- Assist in Rima projects, as assigned by the Officers and other Department Managers
- Support production of profitable products.
