About the Role
This position supports the HR Manager, Assistant General Manager(s), and General Manager within the plant. The ideal candidate will work professionally, with integrity and be able to maintain confidentiality.
Your Responsibilities
Provide support to the HR Manager, AGM(s), and General Manager while maintaining confidential and sensitive information. Coordinate travel arrangements, prepare itineraries, and submit expense reports on behalf of the GM, AGM or where applicable.Schedule, manage and prioritize General Manager's calendar.
Provide back-up coverage to the receptionist between the hours of 8 a.m. and 5 p.m. Manage office supplies and ordering of supplies for plant and help with organizing ESD gear for visitors, temporary employees, and Magna employees.
Communicate andpost event informationon the tv monitors in the cafeteria for C&I (all employee meetings) and other events. Coordinate employee engagement events as well as luncheons for customers, training classes, leadership meetings, and employee events.
Create and manage seating chart, name tags, employee ID badges, employment verification letters and travel letters.Create new hire packets and maintain personnel files.Submit background checks and drug screens for new hire employees.Assist HR team with orientation and administration of onboarding paperwork for temporary employees.Enter in I9 information into E-Verify for all new hires.
Review and record daily call offs in the payroll system. Assist employees with password resets and printing pay stubs.Track employee corrective actions/attendance, SVS forms, and ESD shoe vouchers.Any additional responsibility assigned by the HR Manager, Assistant General Manager(s), and General Manager.
Your preferred qualifications
Two-year associate degree is required. Bachelor's degree preferred.
Minimum 5 years' experience in an administrative capacity.
Computer proficiency utilizing spreadsheet and word-processing software, specifically Microsoft Office (i.e., Microsoft Word, Excel, PowerPoint and Teams) and Concur.
Able to maintain confidentiality and promotes a positive working environment.
