Position Summary:
This position is responsible for providing administrative support to the Office of Environmental Health & Safety/Emergency Management a part of the Risk Management, Environmental Health & Safety unit. The person in this position must be able to work at a high degree of independence while supporting multiple staff members including coordinating meetings, developing and distributing meeting minutes and maintaining budgetary records. In addition this position is responsible for monitoring and providing updates to the department internet web pages and general office duties.
Required Qualifications:
High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications:
Experiencing authoring and editing web pages.
Developing & maintaining department budgets.
Knowledge of specific software programs and/or mainframe systems such as Microsoft Access, SAP
Demonstrated ability to supervise student employees
Knowledge of environmental health and safety regulations such as OSHA, NRC, EPA, NIOSH, etc.
Duties & Responsibilities:
Organize and provide logistical support for a variety of Environmental Health & Safety/Emergency Management meetings and special events including identifying and reserving appropriate locations, preparing materials, distributing agendas, taking minutes, and distributing minutes for the Campus Environment Health & Safety Committee and Joint Health & Safety Committee.
Coordinates meeting room arrangements and documents for training activities involving administrative staff, faculty, academic administrators and students along with recording training attendance in SAP.
Performs detailed budget functions for the Environmental Health & Safety unit and three sub-accounts including maintaining sets of complex budgetary records.
Responsible for tracking expenditures, reconciling accounts, preparing budget status reports, providing budget projection data and analysis and making recommendations.
Maintain the Environmental Health & Safety and Emergency Preparedness internet web pages on an on-going basis and ensuring updates are made in a timely and appropriate manner.
Performs general front office duties, such as, but not limited to, serving as the initial point of contact for visitors, handling incoming and outgoing mail, creating and maintaining organized filing systems, faxing and photocopying documents for department staff and maintaining department schedules.
Monitors inventory, orders and processes payments for office supplies and equipment utilizing the online purchasing system and online credit card system while following proper signatory authority polices.
Performs Motor Vehicle Record (MVR) checks, on individuals driving on behalf of CMU, via the State of Michigan database.
Completes special projects and assignments accurately and in a timely manner for multiple department staff members.
Serves as a backup to the Risk Management Executive Secretary as needed.
Supervises student employees during field work assignments.
Completes other duties as assigned.
