Administrative Secretary

Position Summary:
Duties performed are of a senior secretarial nature. This is the second most senior level secretarial job and while it incorporates elements of other levels, it has a majority of effort associated with specialized secretarial support services or program related activities.
Required Qualifications:
High school diploma or GED.
Three years of qualifying experience or a combination of education and experience that equates to three years.
Experience with Microsoft Word.
Customer service experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications:
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department (i.e. Excel, Access, SAP).
Experience with Microsoft Excel, SAP, Timelink, When To Work and Kineti (Kx) software.
Duties & Responsibilities:
Maintains budgetary/financial records for the department including reconciliation, projections and monitoring and tracking expenditures for all department accounts.
Prepares and processes University billings, invoices, invoice vouchers, journal entries and correspondence.
Prepares and processes payroll for director, assistant director, staff, students and temporary employees using Timelink and When To Work platforms.
Maintains artist and speaker contracts and files.
Hires, supervises and delegates assignments to student office employees.
Trains and oversees student office employees in the execution of non- academic space requests.
Provides secretarial support to the director and assistant director.
Orders all office supplies and maintains office equipment.
