Japanese speaking Executive Admin Assistant (Bi-lingual)

Description:
Provides administrative and secretarial support to the President of Client, also supports/coordinates a variety of programs/activities for the General Administration/Planning Departments.
Required Skills and Education Requirements: Minimum 3 year's Experience as an Executive Assistant. Works easily with all levels of the organization including senior level executives. International experience or exposure interacting with different overseas cultures and languages is preferred. Must have good analytical skills and business acumen combined with advanced administrative experience handling / coordinating projects using various computer software including Microsoft Excel and Word. Bilingual English and Japanese Required
Duties:
Will handle various administrative duties on behalf of the President. These duties may include responding to telephone or email inquiries, development and distribution of meeting minutes, maintaining confidential files, coordinating Corporate level meetings of the FTCA Officers and MIO management as well as making travel arrangements;
Summarizes the content of incoming information and materials to assist the President;
Attends meetings as required; takes, transcribes and distributes meeting notes; ensures follow up on action items;
Gathers information and prepares various monthly reports related to sales, operating results / forecasts and other key business performance indicators. Communicates this information as appropriate within FTCA and Headquarters in Japan;
Participates in preparing documents / presentations for the mid-term business plan, annual Hoshin strategies and periodic reports to the FTCA and FTL Board of Directors;
Reads material and rewrites material in specified language or languages, following established rules pertaining to factors, such as word meanings, sentence structure, grammar, punctuation, and mechanics;
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy;
Serve as a liaison between senior level management, customers and the President, both in the United States and abroad. Uses good judgment and professionalism in communicating with these groups to maintain the integrity of the President's office and FTCA;
Assists other internal groups including FTL in planning / coordinating technical exhibitions.
Coordinate updates of FTCA Visualization Boards;
Stay informed of various country specific rules, regulations and programs;
Supports new employee orientation program for Japanese assignee staff;
Other duties as assigned.

Education/Experience:
Associate's degree (A. A.) or equivalent from two-year business college with a minimum of three years as an Executive Assistant. Works easily with all levels of the organization including senior level executives. International experience or exposure interacting with different overseas cultures and languages is preferred. Language Ability: (English and Japanese Fluency Required)
Ability to write reports, business correspondence in both English and Japanese. Must have high level of interpersonal skills to handle sensitive and confidential situations. Position continually requires demonstrated poise, tact and diplomacy.
Math Ability:
Ability to work with mathematical concepts. Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Reasoning Ability:
Ability to define problems, collect data, establish facts, and draw valid conclusions.
Computer Skills:
To perform this job successfully, an individual should have knowledge of Word Processing and Spreadsheet software.
