Position Summary:
Duties performed are of a senior secretarial nature. Maintains and analyzes set of complex budgetary records by performing bookkeeping related duties such as reconciling, monitoring, making, and tracking expenditures, preparing budget statements regarding the status of accounts, making recommendations as to projected budgets. Developing and composing correspondence, memos, and forms for work area with a primary focus on internal communications/office maintenance. Coordinates and independently monitors the work flow of other office professionals and support staff organizing priorities, scheduling, and staff training at the request of the department chair. This position has a high degree of independence and latitude to prioritize work assignments. Conducts on a recurring basis special projects and assignments as directed; collects, compiles, and writes updates and reports on findings, including preparation of preliminary findings. Acts with high degree of independence as liaison with inside and outside contacts and in preparing meeting materials, programs, updates, and other support functions related to work area.
Required Qualifications:
High school diploma or GED.
Four years of qualifying experience or a combination of education and experience that equates to four years.
Experience with Microsoft Word.
Customer service experience.
Spreadsheet and/or database experience.
Organizational skills with strong attention to detail.
Demonstrated positive interpersonal skills.
Effective verbal and written communication skills.
Ability to project a positive attitude.
Ability to manage multiple projects and meet deadlines with accurate results.
Ability to compose, proofread and edit correspondence.
Ability to perform the essential functions of the job.
Preferred Qualifications:
Knowledge of specific software programs and/or mainframe/systems skills may be desired by the hiring department (i.e. Excel, Access, SAP).
Demonstrated ability to design/maintain web pages may be desired.
Duties & Responsibilities:
Maintains budgetary records by performing bookkeeping related duties such as reconciling, monitoring, making, and tracking expenditures
Prepares budget statements regarding the status of accounts.
Makes recommendations as to projected budgets.
Maintains, reconcile, and monitor all department credit cards.
Purchases all equipment, supplies, and technology
Primary support person for the PES/ATR faculty located in the Health Professions Building
Secretary to department chair
Supervises one student assistant
Develops and implements new office procedures
Provides technical support for the entire department : a: Researches and recommends software upgrades, new software and their practical applications. b: Researches and recommends new technology and upgrades as well as providing primary support for such items. c: Provides all desktop support to the department. d: Coordinates and facilitates all work with Information Technology
Arranges all travel
Schedules appointments
Develops and compiles information for statistical reports
Provides all support for faculty searches
Works independently on special projects as assigned
Orders all equipment for the department

Pay Range: $16.00 - $23.87 per hour, estimated starting rate: $16.00 - $19.00
