Legal Administrative Assistant

If you have a take-charge, positive attitude and love to be part of a hard-working team, we are looking for a Legal Administrative Assistant to work in partnership with the Legal department and support our Chief Legal Officer. Some of the Administrative Assistant duties include preparing confidential and sensitive documentation, managing calendars, making travel arrangements and preparing expense reports. To be successful in this role, you should be well-organized, have great time management skills and be able to act with minimal guidance or direction. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to the Chief Legal Officer, our clients and guests. This role reports to the Chief Legal Officer & VP of Strategic Partnerships.

Responsibilities
Performs a variety of administrative and executive support tasks which are highly confidential and sensitive in nature.
Coordinates and facilitates the executive's calendar to arrange appointments, meetings, and conferences.
Welcomes guests and clients by greeting them in person or via Zoom.
Provides administrative support for the legal, risk and strategic initiatives of the team.
Researches, compiles, assimilates and prepares confidential and sensitive documents and briefs the executive regarding contents.
Reads and screens incoming correspondence and reports, makes preliminary assessment of the importance of materials and organizes documents, handles some matters personally and forwards appropriate materials to the executive and staff.
Composes letters and memoranda in response to incoming mail or calls.
Prepares agendas and collects materials for meetings, internal and external speeches and conferences: coordinates with other departments.
Takes minutes and keeps records as required.
Reviews, proofreads, and edits documents prepared for or by the Legal Department.
Organizes electronic files.
Compiles and maintains records, statistical information, and reports.
Makes arrangements, prepares itineraries, prepares and compiles travel vouchers and maintains all travel records. Submits expense reports on behalf of executive.
Performs highly responsible complex duties as a confidential assistant in relieving the executive of administrative and operational details of his/her department.
Represents the executive by attending meetings in the executive's absence; speaking for the executive.
May assist with contract management system.
Performs other duties as assigned.
Requirements
Associate's degree required (Bachelor's degree preferred) with a minimum of 3 years of executive administration experience. Prefer experience in the legal industry.
Excellent grammar, proofreading and organizational skills.
Must possess the ability to organize, prioritize, and manage multiple tasks.
Must possess superior oral and written communication and interpersonal skills.
Must have the ability to work independently.
Technical expertise in MS Office, including strong skills in Excel, Word, Outlook, PowerPoint
Prefer familiarity with corporate, real estate, construction or insurance documents and structures.

Environmental Factors
The work environment for this position may subject the individual to hazards commonly associated with construction sites. Examples of physical hazards include noise, proximity to moving vehicles, atmospheric conditions, close quarters, uneven surfaces, and elevated surfaces. The individual may also be subjected to outside environmental conditions (weather) where protection may not be available. Personal Protective Equipment (PPE) is required at all times outside the job trailer. Occasional lifting of 50 lbs. or less.
