ERM is seeking an experienced, hands-on Administrative Assistant/Receptionist to provide high-quality administrative and project support in Holland, MI. We are seeking an organized administrative professional to apply self-initiative, positive team attitude, and technical quality and creativity, to support our environmental, health and safety consultants and management staff, both in our local 35-person office and as part of our regional admin team. Manage all front desk responsibilities by promoting a professional and organized presence.
Greet and direct all visitors;
Collect incoming mail and packages and distribute to appropriate individuals;
Maintain desk-booking reservation system for ERM employees and office visitors.
Provide general administrative and project support such as:;
Provide general office support with filing, projects, proposals, presentations, scanning, copying, and other tasks as required;
Compile reports pertaining to time and expense reports, timesheets, and other reports as needed on a weekly basis;
Liaise to internal company resources, such as HR, IT, Finance, etc.;
Plan and facilitate office events.
Coordinate all building/facilities maintenance requests.
Manage and assist with Health and Safety initiatives and requirements pertaining to both office safety and staff safety, such as ergonomics;
Maintain the online Conference Room Reservations system and monitor activity ensuring conference room equipment is checked in/out appropriately and maintain a professional appearance;
Coordinate meetings, including sending meeting invites and relevant correspondence for events and facilitating in-person and MS Teams meetings;
Liaise to the building, staff, and office vendors;
Distribute and maintain records of all building/office equipment (i.e. keys, badges, security cards, hotspots, etc.);
Maintain common areas of the office, including conference rooms and kitchen;
Prepare and track invoices and office equipment records;
Order and track supplies for the office.
Arrange travel for incoming guests and candidates; including coordinating transportation to/from airport, hotel reservations, and airfare in accordance with company travel guidelines.
Onboard new hires, including office tour, technology set up, first day paperwork, and general employee trainings such as timesheets, expenses, and familiarization with company resources.
High school diploma required; Associates or Bachelors degree in business administration or related field desired.
Two to five years of administrative experience in a fast-paced organization while adapting to challenging deadlines and priorities.
Detail oriented with a strong work ethic while maintaining a high level of professionalism and discretion at all times.
Professional communication skills (verbal, quick messaging, and email). Good professionalism and discretion at all times.
Strong computer skills including Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams), Adobe, and strong familiarity with the internet and web based tools.
Able to provide the highest level of customer service to both internal and external clients.
Highly motivated and flexible individual who can work independently and remotely as well as in a team.
Local candidates only, must be able to work in Holland, MI office, regular business hours (8 hrs/day), weekdays only.
