Description
This position receives and reviews general Freedom of Information Act (FOIA) requests for the Saginaw Police Department and assists the Support Services Administrator in the daily operations.
This is one of three civilian positions in Administration Division. The incumbent reports to the Support Services Administrator.
Applications will be screened in. Qualified applicants will be invited to a computer based test and an oral interview. Applicants must successfully pass each of the selection process by a score of 70% or better to proceed in the process.
Major Duties
- Receives, reviews and completes general Freedom of Information Act (FOIA) requests, to include recording the documentation and filing it in the Police Departments record system.
- Serves as direct support to the Support Services Administrator answering phone calls, scheduling and assisting in daily tasks.
- Operates Law Enforcement Information Network (LEIN) regarding criminal histories, arrests, aliases and other information pertinent to divisional activities - as needed.
- Answers telephone inquiries of public regarding investigations as required.
- One of two positions that ensures that Sex Offenders are compliant with the State of Michigan through verifications.
- Fulfills Michigan Institute of Forensic Science & Medicine request
- Fulfills State of Michigan Crime Victim Services Commission request.
- Maintains FIOA spreadsheet on new incoming FOIA’s and older FOIAs to ensure timelines are meant.
Job Requirements
- Must have a High school diploma or GED. Some college basic course work in word processing, spreadsheets and/or communications is highly desired.
- Two years of office experience performing varied clerical functions preferred.
- Accurate and proficient data entry skills; ability to use a copy machine, and fax machine and Police Department software and applications.
- Good communication and human relation skills with the ability to work with other staff members harmoniously on varying projects and shared responsibilities.
- Must be of high moral character and be able to pass a thorough background investigation.
- Must be a responsible individual, well organized and a self-starter regarding the completion of tasks.
- Ability to handle confidential materials and information responsibly and with discretion.
- Strong computer skills with knowledge of word processing and spreadsheet software.
- Must be able to pass Law Enforcement Information Network testing to become LEIN certified.
- Must be trainable to use a records management system, video software and a video editor.
- Must be trainable to use Lexis Nexus crash reporting software.
- Must be trainable to use County of Saginaw Records Management software.
- Must be trainable to use Michigan Criminal Justice Information Center application.
