Summary:
The Contract Compliance Administrator demonstrates excellent customer service performance in that his/her attitude and actions are at all times consistent with the standards contained in the Vision, Mission and Values of Covenant HealthCare and the commitment to Extraordinary Care for Every Generation.
This individual insures compliance with all GPO (group purchasing organization) contracts, independent contracts and prime distributor agreements for Covenant HealthCare. Achieve maximum utilization of contracts at the lowest possible price while maintaining quality. Provide accurate, relevant and reliable data that enhances the decision making process for product selection resulting in opportunities for continuously improving operational excellence. Must have exceptional organizational skills.
Responsibilities:
Contributes to organization success targets for net operating margin.
Acts as a liaison with accounts payable to ensure prompt payment.
Periodically audits invoices and billing for compliance with existing contracts, and follows up and resolves all differences.
Monitors and records all product rebates to insure they are received and applied to appropriate accounts.
Maintain contracts and pricing within the Lawson Contract Mgt system.
Monitors manufacturer rebates to insure they are received and applied to appropriate accounts.
Contacts vendors as needed to resolve contract/pricing issues.
Models Covenants Mission, Vision and Values of keeping our commitment to Extraordinary Care for Every Generation.
Demonstrates commitment to unsurpassed level of Customer Service.
Monitors all GPO Contracts.
Insures that all Letters of Participation/Commitment are processed for all GPO contracts.
Insures compliance through Novation Standardization Programs.
Monitors all GPO transactions; pricing issues, product conversions, file updates/changes and product inquiries.
Maintains contracts and pricing in Lawson Contract Management.
Assists departments in product, equipment and supplier research.
Analyzes products, pricing and other financial data for best quality and price based on user defined specifications and formal communication.
.Negotiates with suppliers on specific terms on contracts or equipment acquisitions.
Answers cost messages forwarded by Procurement Specialists.
Resolves inaccurate billing with vendors and upholds negotiated price agreements.
Periodically audits invoices and billing for compliance with existing contracts, with follow up and resolves all issues.
Develops RFPs for products, equipment and services.
Interact with Covenant HealthCare affiliates as it pertains to contract inclusion, product information
and general data gathering.
Maintains Lawson Contract Mgt system including upgrades
Negotiates and manages supply contracts as assigned.
Other information:
EDUCATION/EXPERIENCE
Knowledge in the fields of purchasing and accounting acquired through the completion of a Bachelors Degree in Business or Accounting
Minimum of five years in a purchasing environment with accounting procedures is beneficial.
KNOWLEDGE/SKILLS/ABILITIES
Software programs, with an emphasis on a mainframe inventory system. Prudent purchasing practices.
Demonstrated sound judgment in difficult/sensitive situations.
Interpersonal skills needed to communicate and interact with individuals and groups at all levels and able to present ideas and concepts in a clear and understandable manner.
Ability to handle multiple tasks and stressful situations.
Demonstrated ability to work independently and prioritize tasks appropriately.
Ability to maintain regular, punctual attendance consistent with the ADA, FMLA and other federal, state and local standards
