The Medical Group Administrative Coordinator, in collaboration with the Medical Group Leadership Team is responsible for the development and maintenance of fiscally conscious physician schedules that provide optimal utilization of physicians and support staff in the clinic. The Administrative Coordinator is also responsible for managing the activities necessary for medical group department payroll. Furthermore, the Administrative Coordinator, working with the Medical Group Leadership, develops, maintains, and analyzes reports correlating clinic census and performance indicators to staff utilization, absenteeism/tardiness, and the medical group budget to monitor and report performance. Additional responsibilities include active participation in Quality Improvement initiatives within the medical group through data collection, analysis and reporting, and ensuring compliance with organizational and accreditation regulations. ESSENTIAL JOB RESPONSIBILITIES: * Assures smooth operations and support of the Medical Group exercising independent judgment and discretion * Maintain agenda and minutes for hospital and Medical Group committees as assigned. * Independently compose/develop routine memos, correspondence, agendas, reports, and written materials to communicate plans and programs * Highly involved in accreditation preparation for Joint Commission, CARF, and other applicable accreditation bodies * Contributes to event planning and arrangements for outside organizations. * Provides project coordination and record keeping * Responsible for, and in conjunction with Medical Group Management, for the training, guidance, and leading regular meetings. B. STAFFING/SCHEDULING: * Assists in developing the staffing models and schedules. * Assists in overseeing the staffing and coverage placement and schedules for the physicians, mid-levels, residents, and clinical staff at multiple physician practice locations. * Acts as a key liaison along with the Manager between MFB Human Resources, Education, and Professional Services departments. * Collaborates with the Medical Group Leadership regarding staffing/scheduling needs, changes, and vacancies. * Proactively identifies staffing needs and works with the Medical Group Leadership and nursing staff to address staffing needs based on census levels acuity and staff skill mix. * Maintains records of absenteeism and tardiness for clinic staff. * Analyzes staff vacation and continuing education requests per budget and organizational needs. * Provides pertinent information to Medical Group Leadership for the completion of the Employee Change Forms (ECF) when approved by the Director of the Medical Group * Develops and implements proposals for improving operational efficiencies. B. QUALITY IMPROVEMENT: * When indicated, the Administrative Coordinator works with appropriate Medical Group Leadership Team members to develop action plans related the specific monitors in the Staffing Effectiveness or Patient Safety projects. * As needed, the Administrative Coordinator conducts QI surveys and compiles QI data * Able to sit for the majority of the time, but may involve brief periods of time involving walking or standing. * Able to use keyboard frequently (1/3 to 2/3 of the time).
