Clerical Associate - HCV Program
Community Management Associates, Inc. (CMA) – South Haven Office
CMA maintains an office in South Haven, Michigan. This position is Part-time with the potential of going Full-time.
Under supervision of the Director of Operations or other assigned supervisor, performs a wide variety of clerical and general office work to serve as the Housing Choice Voucher (Section 8) Program department receptionist, including responding to telephone and personal inquiries, directing persons to appropriate offices, and assistance with coordination of participant eligibility and annual certification procedures. May provide clerical support to other staff and perform other related work as required.
Description of Duties and Responsibilities: The following represents the major essential and secondary duties of the position, however, they are not intended to be all-inclusive. Employer reserves the right to change, re-assign, or combine job duties at any time.
Essential Job Functions: Assists Supervisor and other staff with general reception and clerical tasks; essential job functions include, but are not limited to:
• Performs general clerical and office work, including typing, word processing, proofreading, filing, checking and recording information;• Answers the telephone and provides callers with routine information;• Assists office visitors by providing routine information;• Prepares a variety of materials for reproduction;• Operates a variety of office machines and equipment, including copy machines, computer equipment, and calculators;• Composes letters, forms and reports;• Types materials from verbal directions, rough-drafts or handwritten notes, including records, purchase orders, leases, tenant lists, reports, memorandum, tables, lists and a variety of other documents;• Assists in the maintenance of a variety of files, documents and materials according to a predetermined classification system; Includes maintenance of alphabetical, numerical, index and cross-reference files;• Makes arithmetical calculations and posts to statistical records;• Sorts and distributes incoming mail, processes outgoing mail;• May assist in annual recertification process by scheduling recertification appointments, checking records and documents for clerical and arithmetical accuracy, completeness, and to insure compliance with established procedures;• Maintains office general cleanliness, stocks flyers and brochures;• May be assigned additional duties and responsibilities as necessary.
Qualifications: Education and training equivalent to completion of the twelfth grade, including or supplemented by coursework or training in typing, filing, and office practices.
Must have the ability to learn and apply standard office procedures and operate office equipment skillfully and efficiently, perform routine general office and clerical work with speed and accuracy, type at a net speed of at least 45 words per minute, understand and carry out oral and written directions, and establish and maintain cooperative working relationships. Must also have knowledge of:• English usage, spelling, grammar and punctuation;• Modern offices practices, methods, machines, and computer equipment and software, specifically Microsoft Outlook, Microsoft Word and Microsoft Excel• Numerical, alphabetical, and subject matter filing systems.
Special Requirements: Essential duties require the following physical skills and work environment:
• Ability to work in a standard office environment with ability to sit, stand, walk, kneel, squat, and climb; exposure to cold, heat, outdoors, and electrical hazards; ability to travel to different sites and locations (physical may be required prior to employment to ensure ability to meet physical requirements of the job).
• Must be capable of performing light lifting of up to 20 pounds while in the office, predominantly paper products, small office equipment, files, etc. Many files are retrieved and stored in overhead shelving; these files may weigh up to 20 pounds. Files may be carried a distance of up to 100 feet from desk to storage facility.
