GENERAL SUMMARY
Provide administrative support to the WIOA Youth program staff and customers for assigned office(s). Provide back-up assistance/coverage when other staff are off-site or out of the office. Assist Career Development Facilitators with participant registration.
SPECIFIC RESPONSIBILITIES
- Assist with intake/registration process and paperwork
- Perform intake assessments and complete paperwork for potential participants
- Perform follow-up duties for participants after subsidized/unsubsidized placement, ITA start, etc. in order to help identify participant needs and barriers and turn them over to a Career development Facilitator
- Provide paraprofessional services to youth as needed
- Provide administrative support for the WIOA Youth Program
- Perform outreach support duties including handling referrals and job seeker survey’s and documenting outcomes
- Create and maintain email contact grouping and forward job leads, resources, etc. to participants in group
- Participate in program recruitment as needed
- Assist Career Development Facilitators in maintaining regular contact with participants
- Maintain accurate and timely case notes of youth contact and progress; case noting all interactions and attempted contact with participants
- Conduct follow-up phone calls
- Teach office/work-based learning skills classes to youth
- Create and revise documents for program as needed
- Collect, organize, and file documents
- Perform data entry
- Develop and maintain knowledge of program enrollment requirements and processes
- Assist Placement Specialists with picking up/dropping off PWE time sheets, performing worksite monitoring, logging Placement-related information into WBD report, and other placement-related duties as needed
- Provide seasonal assistance to Placement Specialists during the Spring/Summertime for annual Foster Care Summer Youth Employment Program (FCSYEP) such as picking up time sheets, keying in foster youth files, etc.
- All other duties as assigned
EDUCATION & EXPERIENCE QUALIFICATIONS
- High School Diploma or GED required
- General office experience required
- Experience with federally funded programs and/or at-risk youth preferred
KNOWLEDGE & SKILLS REQUIRED
- Ability to type/enter data with speed and accuracy
- Must be proficient in Microsoft Office
- Ability to communicate with the general public, including operating a telephone
- Must be organized, flexible, and able to multi-task
- Driving between offices may be required; must possess a valid driver license and automobile insurance
