Senior Administrative Assistant - Construction

We are looking for a Senior Administrative Assistant to provide support to the Senior Vice Presidentof Construction Services (SVP) by performing advanced, diversified and confidential administrative duties.
JOB DUTIES
* Perform general administrative functions such as answering phones, typing, copying, faxing, filing, and other duties as assigned.
* Manage calendarfor SVP. Schedule appointments, meetings, and conference calls with both internal and external parties as directed or independently; prepare meeting agendas, notices, minutes and reports as needed.
* Arrange complex and detailed travel plans and itineraries and compile documents for travel-related meetings with minimal direction; compile expense reports for approval.
* Screen incoming calls and correspondence; research, resolve and follow-up on issues and concerns in an appropriate and confidential manner.
* Compose and prepare a wide range of general, confidential and complex letters, memos and reports; ensure proper sentence structure and grammar.
* Review, code, and submit invoices for approval and payment.
* Open and route incoming mail; locate and attach related documents requiring personal attention of the SVP.
* Prepare, print, or export various spreadsheets, reports and statements as requested.
* Ensure office equipment is in operating condition and adequate levels of office supplies.
* Assist the SVP with preparing resident and community communications such as flyers and notices as requested.
* Other duties and special projects as assigned.
REQUIREMENTS
* High School Diploma or GED; Bachelor's degree in Business or related field, preferred
* Minimum of 8 years administrative experience
* Minimum of 5 years experience supporting upper management leaders
* Strong attention to detail, organizational and multitasking skills
* Excellent communication and interpersonal skills
* Ability to work independently as well as a team in a fast-paced, multi-tasked environment
* Ability to maintain confidentiality
* Advanced computer proficiency with the Microsoft Office Suite, email, internet, and the ability to provide data entry in a timely and efficient manner
