Position Description:
Provide administrative support to the Senior Director of and their staff including, as required, TCV Engineering and their staff as required.
-Arrange meetings for Sr. Director and support meeting set-up for staff on-site and off-site.
-Prepare business correspondence using word processing, spreadsheets and presentations accurately and promptly
-Coordinate approvals of contractual and program documents throughout the organization and maintain archiving system to support future questions, audits, etc.
-Send out meeting notices and monitor Outlook calendars to ensure Sr. Director and staff have proper attendees/delegates.
-Maintain vacation, out of office, travel schedules for the organization
-Arrange catering requests on-site and off-site as required
-Function as point of contact for invitees/visitors to ensure access to building(s)
-Familiarity with process for handling international visitors including preparing and processing visit requests and security procedures relative to non-U.S. persons
-Monitor e-mail correspondence when needed to ensure that messages/actions are received in a timely manner
-Undertake administration-related work in the office including ordering supplies and monitoring level of stock
-Receive incoming calls and take accurate messages
-Manage physical and electronic files, send faxes, scan documents
-Maintain a strong network by communicating with senior management, employees, and suppliers.
-Prepare Travel Authorizations, make domestic and international travel arrangements, prepare and process expense reports
-Track and resolve any problems that may affect travel or expense reporting
-Provide IRM/CMR (Computer Material Requests) support by creating documentation for computers and peripherals along with software updates and cell phone requests
-Secure handling of sensitive financial, personnel, technical and business information
Position Requirements:
-Requires a minimum of 6-9 years of applicable experience in a administrative support role working directly with senior management.
-High School Diploma/GED required, Associates degree preferred.
