DESCRIPTION/RESPONSIBILITIES:
Job Overview:
Provide general administrative support for the Vice President of Digital Services, Ford Smart Mobility, LLC.
Responsibilities include, but are not limited to:
* Calendar/Meetings/Email/Travel
* Provide coordination and administrative support to the VP Digital Services and the wider team
* Coordinate internal/external meeting itineraries, schedules and calendars, resolving conflicts in a timely and efficient manner
* Schedule meetings (often involving Global personnel), setting up and utilizing audio & WebEx technologies
* Flag important items in email that need attention. Track and follow up on assignments
* Arrange foreign/domestic travel, visa/passport requirements, as well as Travel Expense Reports
* Coordination of multiple travel requirements & business itineraries
* Coordinate New Employee Interviews, computer and mobile, and building acces
* Coordination
* Coordinate all Digital Services projects and schedules and maintain key events calendar
* Work closely with the communications team to coordinate media logistics for demonstrations, interviews and announcements
* Facilitate NDA/CDAs with OGC and manage vendor activities
* Administrative Coordination for budgets: travel, office supply, and metrics reporting
* Develop and maintain Digital Services SharePoint Site
* Prepare org charts, department rosters and other documents as required; design and distribute monthly newslette
* Budget Assistance
* Coordinate Travel Expense Reports & CPARS requests
* Ensure timely approval of all request
* Effective Office Management
* Manage extensive and highly confidential electronic /written communications
* Responsible for office organization including: office filing systems, incoming/outgoing mail, effectively handling e-mail correspondence and voicemail (monitoring for urgent e-mails/messages), copying, faxing, etc.
* Handle department correspondence, letters, emails and requests for information. Prepare letters for VP’s signature
* Provide high quality documents including org charts, Ford forms, Excel spread sheets and Power Point presentations. Proof read/edit various documents submitted to the CEO/VP, including speeches
* Represent office in a professional manner on phone, e-mail, and in person
* Interface effectively with employees at all levels
* Coordinate details for all outside Boards
* Anticipate issues/concerns and follow-up on assignments and request information as required
* Mentor/Train Admin Asst for backup in office to ensure continuity
* Coordinate events and engagement with external visitors
