Department Summary
The Environmental Regulations & Strategy team provides environmental permitting, project support, regulatory
compliance expertise, and environmental long-term financial planning and rate case support for Consumers Energy.
Job Description/Responsibilities
The Environmental Regulations & Strategy team is looking for a candidate who will enhance our office with a positive
attitude, excellent organizational skills, constructive ideas for continual improvement, active communication, and a
dedication to our compliance teamwork. The Admin Specialist will report to the Director of Environmental Regulations &
Strategy and fulfills the administrative needs of approximately 25 environmental subject matter experts.
Specific duties also include:
Maintaining, updating, and improving the quality assurance of a regulatory compliance obligation spreadsheet via input
from subject matter experts; ideally including the transfer of data to a more comprehensive compliance software system
(e.g. SharePoint or a new specialized software package).
Maintaining and updating the visual management boards on a weekly basis pursuant to the compliance calendar, safety
statistics, and team performance metrics.
Utilizing SharePoint to ensure the key document process is followed and appropriate approvals are maintained by
subject matter experts. The ideal candidate will be a SharePoint Power User and Site Owner.
Processing of payment requests, purchase requisitions and orders, and Service Entry Sheet (SES) into SAP. These
functions include tracking funds remaining in the purchase order to help ensure timely change log requests. Permit
refunds must also be processed as credits to the purchase orders upon completion of certain projects. The ideal
candidate will be highly proficient in SAP.
Reconciliation of Procurement Credit Card and expense report transactions.
Supporting SAP functions for purchase requisitions and purchase orders (PO).
Supporting accounting functions for advanced booking and accruals.
Organize and arrange meetings and Outlook calendars for the Director, four supervisors, and team members as needed.
Handling of standard clerical functions and actions, including answering phones, filing, preparation of
letters/reports/correspondence, tracking information, maintaining logs and spreadsheets (e.g. Environmental Review
Checklists, Asbestos, Agency Visit forms), and other similar administrative support.
Working cooperatively with other administrative assistants within Environmental Services to ensure team coverage and
efficient teamwork.
Editing and assisting with coordination of the weekly report to leadership.
Scheduling and coordinating logistics for team travel and office functions.
Working safely and helping to ensure a safe office working environment.
Performance of responsibilities in a manner that clearly shows effective communication and cooperation, and that
promotes the open exchange of information, respect, and professional, high ethical standards.
Other miscellaneous administrative duties as assigned.
In summary, an Administrative Specialist exhibits the ability to interpret and analyze a wide variety of advanced
departmental/functional/discipline specific information/problems, evaluate alternative courses of action, and recommend
appropriate actions to resolve the complex issues/problems. Primary responsibilities include gathering and managing
data, formulating reports, managing spreadsheets, and assisting personnel with compliance tasks. Work tasks involve the
extensive utilization of various software platforms including SharePoint, Excel, Word, PowerPoint and SAP. This position
provides support for the improvement of reporting methods and formats, including performing general administrative
tasks; works in SAP; provides SharePoint power user assistance; and provides support to other business partners as
coordinated by the Director.
This position will be located at the Parnall Office in Jackson, MI.
Requirements/Qualifications
High School diploma or GED
5+ years of related experience
