Position Accountabilities and Essential Functions:
This position works directly with processing the applications, communications, and other enrollment processes and materials for students through a Customer Relationship Management (CRM) System. Additionally, International students and Michigan College Online students. Other responsibilities include retrieving data and generating statistical reports for the Admissions Office and other areas of the College; assisting the Admissions Recruiters with the coordination of high school and off-campus visits and activities. This position is responsible for overseeing the functions of the Admissions Office during evening hours.
Customer Service:
- Assist customers either in person, by phone, mail or e-mail with a high level of professionalism and customer service.
- Furnish a diverse population with accurate information regarding the admissions process, college policies and procedures, and a wide variety of questions regarding all areas of the college.
- During weekly evening hours of operation, watch over part-time and student personnel, oversee projects and tasks; assist the diverse public, both in person and on the phone with requests and/or problem-solving situations.
Processing Management:
- Proficiency in Microsoft Word, Excel, and Microsoft Outlook (Calendar) is required along with a strong knowledge of CRM systems and processing.
- Responsible for daily processing of admissions applications as well as other student data that comes into the Admissions Office.
- Daily processing and running of letters and outgoing communications to applicants.
- Responsible for daily upload and processing of student assessment scores and student transcripts.
- Running and processing clean-up reports on inaccurate data from both the on-line and in person application data entry and verifying and correcting the data.
- Running of weekly reports and data updates.
- Document in CRM system all incoming communications.
- Report admissions funnel and communication data.
- Lead contact for Student Portal issues within the office.
Other Responsibilities:
- One of the initial contacts for new and prospective international students at Delta College. Requires a working knowledge of the Federal regulations regarding international students (F-1 and J-1) admission and immigration. Responsible for collecting required documents and entering data into CRM System and SEVIS and forwarding information to the appropriate staff member for approval. Manage international student files and documentation.
- Generate periodic reports for informational purposes for high school counselors and to request high school transcripts to be sent to Delta College.
- Contact for the Michigan Colleges Online (MCO). Process MCO student admission applications each semester. Maintain MCO website confirming and verifying student enrollment. Frequently involves numerous questions (e-mail and/or phone) by students requiring detailed explanations and instructions.
- Other duties as assigned.
Minimum Required Qualifications:
- High school diploma or GED .
- Specific certification, training apprenticeship or experience.
- 1 year of position related experience.
- A working knowledge of the Ellucian Recruiter and Colleague system to be able to enter applications, manipulate student information, register students, and be able to run and understand regular reports.
- This position requires someone who is detailed oriented and able to work independently with minimal supervision.
- Must be able to work with regular interruptions.
- Must be able to prioritize tasks and handle multiple simultaneous responsibilities.
- Must be able to work with a diverse population of international students.
- Must be familiar with immigration regulations and processes.
- This position requires a working knowledge of the Federal regulations regarding international students (F-1 and J-1) admission and immigration.
- The person in this position is responsible for collecting required documents and entering data into Ellucian Recruiter, Colleague, and SEVIS and forwarding information to the appropriate AP staff member for approval.
- Work with the processing and customer service aspects of completing the Delta College Online application.
