POSITION ACCOUNTABILITIES AND ESSENTIAL FUNCTIONS:
A high level of complex, responsible, and confidential duties are performed in developing, processing, and maintaining student records and databases which provide students, faculty, and staff with accurate and timely information. Key functions will be to process all submitted graduation applications for all credentials offered by Delta College. This position will also perform all related tasks for assisting students with the graduation process to include: degree evaluation, communication of audit findings, resolving disputed audits, posting of substitution/waiver requests, final audit, posting degrees, and assisting in Commencement activities in collaboration with Marketing and the Academic Office. This position will also process validation audits for students applying to clinical programs at Delta College.
- Process graduation audits to ensure students have met graduation requirements and notifying students of the results of audit. Approximately 2,900+ credentials are awarded annually. Each credential requires a minimum of two audits (preliminary and final) prior to final awarding or denial of application.
- Process finalized audits to include: updating final transcripts, diploma production and communication of all audit findings to students. Collaborate with Academic Office and Marketing for annual Commencement Program and data mining.
- Process all submitted substitution/waiver requests. Approximately 1,000+ are submitted per academic year.
- Process validation audits for all clinical programs.
- Assist the coordinator of dual enrollment programs on coordination and registration of dual enrolled cohort students.
- Provide point-of-service customer service: phone, email and in-person during peak registration periods.
- Student Athlete and special group registration.
The successful candidate is expected to be available to work during the following hours, as staff is staggered to cover all hours of operation:
Monday through Thursday from 7:45am to 6:00pm
Fridays from 7:45am to 4:00pm
Green Fridays (mid-May to late July)
Monday through Thursday from 7:30am to 6:00pm
Fridays – Closed
REQUIRED QUALIFICATIONS:
- Minimum Technology Skills.
- Associate Degree or equivalent knowledge and skills.
- Minimum of one year related work experience.
- Evidence of proficiency in Microsoft Office 2010 applications (Word and Excel primary).
- Evidence of proficiency in Microsoft Office Outlook and Internet searches.
- Ability to pay a great deal of attention to detail.
- Demonstrate excellent customer service skills.
- Demonstrated ability to effectively communicate in both written and verbal forms with people of various ages and diverse socioeconomic, ethnic and cultural backgrounds.
- Demonstrated ability to work in a busy environment with multiple interruptions, able to prioritize and work with multiple tasks throughout a normal workday and able to function independently with minimal supervision.
- Demonstrated ability to work collaboratively and efficiently in a team environment.
ADDITIONAL EXPERIENCES CONSIDERED:
- Experience using a student database (Colleague/Datatel).
- Knowledge of Delta College.
