This position provides general office support to include financial aid processing, document handling, and customer service in a complex and diverse environment.
Qualifications
High School Degree (Required)
Between 1 and 2 years of related experience (Required)
Ability to learn and use Banner enterprise system (database) (Required)
Ability to work cohesively with students, staff, faculty, and/or others (Required)
Minimum of one year of office experience (Required)
Computer skills, including knowledge of Internet, email, calendaring software (Required)
Word Processing skills and experience (Required)
Experience working with high school and/or college age students (Preferred)
Basic knowledge of NMC facilities use policies, related policies and guidelines (Preferred)
Customer service experience in a complex business setting (Preferred)
Experience and skills in databases such as Banner (Preferred)
Experience working efficiently under pressure with careful attention to detail (Preferred)
Prior experience working with Financial aid (Preferred)
Related work experience in coordinating office tasks and managing multiple projects (Preferred)
Spreadsheet skills and experience (i.e. Microsoft Excel) (Preferred)
Associate's Degree (Preferred)
Essential Responsibilities
- (Critical) Executes and assists others, including students, with record keeping functions and reporting requirements within the department.
- (Critical) Responds efficiently to and composes correspondence through a variety of communication methods including email, telephone, website inquiries, and inperson requests regarding information pertinent to department and NMC. Directs staff, students, faculty, and others to appropriate information source.
- (Critical) Provides administrative support to department (students, staff, and faculty) through accurate record keeping and updating in appropriate data storage system; serves as the point of contact between departments/functions as appropriate in reporting information and issues; drafts and processes correspondence efficiently. Document management includes scanning, indexing, and reviewing complex documents.
- (Critical) Performs clerical and bookkeeping tasks relevant to department functions, including maintaining transaction/cash logs, issuing receipts, and contacting appropriate others (vendors, other departments) to maintain supplies; opens and distributes mail. Serves as cashier: accepts payment from students, NMC departments and others; balances cash drawer daily; posts transactions.
- (Critical) Explains policy and procedure information relevant to department to students, customers, staff, and others, helping to accommodate requests as appropriate.
- (Critical) Assists students and others in navigating the functions of the Enrollment services Departments: Financial Aid, Student Financial Services, Records and Registration and Admissions. Provides basic information to students, including but not limited to: status of their account and financial aid, collection issues, coaching on forms, SelfService, explanations of NMC and Federal policies (such as Satisfactory Academic Progress policy) and how these policies apply to the particular student's situation. Analyzes and communicates complex financial aid/admission statuses from various computer systems.
- (Critical) Manages federal, state, and institutional data processes in financial aid.
- (Very Important) Attends and participates in NMC and department meetings and events as needed and assigned.
- (Very Important) Creates and/or updates manuals for operations, contact lists, and emergency procedures.
- (Important) Carries out relevant public relations efforts, serving as a department and NMC representative in work activities. (Important) Trains supplemental and student employees in customer service and document management procedures.
- (Important) Assists with events for students, parents and prospective students for recruiting and financial aid both on and off campus, including some evening and weekend events.
