SUMMARY: The Patient Access Manager will be responsible for the day-to-day operations and oversight of Scheduling, Registration, and Insurance Verification functions of the LTBB Health Department, including Crooked Tree Wellness Clinic. This position will ensure a consistent approach across departments and specialties, focusing on gathering accurate patient data to support clinical operations and revenue collection.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Provide excellent customer service to clients and vendors and fellow employees, and represent LTBB Health Department in a professional, positive manner
- Recognizes and is sensitive to the cultural dimension inherent in the practice of health education in Native American communities. Must be culturally competent and meet the health literacy and linguistic needs of target populations
- Responsible for the delivery of exceptional customer service to LTBB Health Department patients both on the phone and in-person at key patient contact points across the organization
- Abides by HIPAA policies pertaining to protected, personal health information keeping it in strictest confidence as required by law and CFR 42
- Manage daily Patient Access operations, including registration, scheduling, and insurance verification workflows
- Responsible for the LTBB Health Department phone management strategy, including phone tree creation, call pools, and leveraging existing technology to establish optimal access for patients contacting the LTBB Health Department and ensure timely response and follow-up
- Supervise and develop staff, including hiring, onboarding, performance evaluation, setting staff coverage schedules, and training
- Collaborate with Epic Support Analysts to optimize workflows, implement operational enhancements, and conduct system upgrades and testing
- Maintain scheduling templates for all departments and work with leadership to optimize and normalize templates across clinics and locations
- Be the subject matter expert for Epic Cadence (Scheduling) , Epic Prelude (Registration), MyChart functionality, and Artera patient communication platform
- Create and implement a consistent approach to appointment scheduling for LTBB Health Department, create workflows and tipsheets to support staff in completing duties in a consistent manner
- Collaborate with clinical leadership to ensure triage workflows are created and completed in accordance with established clinical guidelines and best practices
- Monitor Patient Access KPIs including registration accuracy, denial rates, patient wait times, and other productivity metrics
- Ensure compliance with HIPAA, CMS regulations, organizational policies, and revenue cycle standards
- Support revenue cycle workflows by maintaining a high standard of accuracy in patient data gathering and insurance verification
- Resolve escalated patient, provider, and operational issues related to scheduling, registration, and insurance workflows
- Participates in quality improvement processes for the LTBB Health Department.
- Responsible for collecting data for and preparing monthly and quarterly statistical reports as requested.
- Assist with Health Department outreach and events as needed
- Performs other duties as assigned.
EDUCATION AND EXPERIENCE In addition to KSAs: Associate's degree required. Certified Medical Biller (CMB) credential or Medical Billing certificate from an accredited college required. Minimum of 2 years' experience in patient registration, scheduling, or insurance verification required. Minimum of 3 years' direct customer service experience required. Minimum of 1 year of experience using Epic EMR required. Experience working with tribal communities preferred.
KNOWLEDGE, SKILLS AND ABILITIES: Must have working knowledge of Epic Cadence and Epic Prelude. Must be able to create and uphold workflows across a variety of staff with a variety of skills. Must have proficiency in Medical Billing to successfully collaborate with and support established revenue cycle processes. Must have advanced knowledge of insurance verification workflows, sequencing, and registration-based payer denials. Must be able to work with a variety of internal and external stakeholders in the pursuit of shared goals. Must be able to do word processing in Microsoft Word. Must be able to do data entry into Microsoft Excel spreadsheets. Must be able to manage email and calendar in Microsoft Outlook. Must be able to type a minimum of 50 words per minute. Must be able to verbally communicate in a clear and confident manner, in person and on the phone, with patients and co-workers. Must be able to compose a simple business letter, memo and fax cover sheet. Must be able to work in stressful situations while maintaining professional composure. Must be friendly and personable, and able to accept constructive feedback and have a positive working attitude. Must be able to multi-task and thrive in a fast paced, busy, working environment. Must be able to work as part of a team in delivery of Health Department goals. Must be willing to travel to complete training including air travel and several consecutive overnights. Be dependable; able to follow work schedule and follow work rules. Conducts behavior in a manner that is professional and courteous to all patients and staff at all times.
CERTIFICATES, LICENSES, REGISTRATIONS: Must possess a valid driver’s license, reliable transportation and be insurable for duration of employment.
COMMENTS: Indian preference will apply (Preference will be given to qualified Native American applicants in accordance with the LTBB Indian Preference Statute). Individuals must pass a thorough background investigation, including criminal and employment. Individual must have a positive job history with former employers, including LTBB. Individual must take TB test and get influenza vaccination annually due to working in a health setting. LTBB Health Department is a scent free environment.
