Responsibilities:

• Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
• Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
• Handle scheduling tasks such as calendar management and appointment setting with accuracy and timeliness
• Maintain organized filing systems, update spreadsheets, and perform data entry tasks with precision using productivity software like Microsoft Office and Google Workspace
• Support office management duties including inventory tracking, supply ordering, and basic bookkeeping using QuickBooks or similar tools
• Assist with clerical tasks such as proofreading documents, word processing, and managing correspondence
• Provide excellent customer support by addressing inquiries, resolving issues, and ensuring client communication is clear and professional

Requirements:

• Proven experience in office management or administrative roles, preferably as a receptionist or personal assistant in a fast-paced environment
• Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel), Google Workspace, spreadsheets, and data entry skills
• Excellent organizational skills with the ability to multitask effectively and prioritize responsibilities
• Exceptional communication skills, both verbal and written, including phone communication and client interaction
• Bilingual abilities are highly desirable to serve diverse client needs effectively
• Familiarity with multi-line phone systems, clerical procedures, filing systems, and office equipment
• Experience with bookkeeping software such as QuickBooks is a plus
• Demonstrated ability to handle sensitive information discreetly while maintaining professionalism
• Strong time management skills with the ability to work independently and as part of a team
