Location: Grand Rapids, MI
Schedule: Full-time, 40 hours/week (some evenings as needed)
Compensation: Level A, $20.23/hour
Reports to: Dean, School of Health Sciences
Position Summary
Provides high-level administrative and secretarial support to the Dean of the School of Health Sciences, ensuring efficient office operations while maintaining confidentiality and supporting faculty, staff, students, and institutional processes.
Essential Functions
Provide administrative support to the Dean, including scheduling, correspondence, meetings, and confidential files.
Serve as liaison for faculty, staff, students, and community partners.
Greet visitors, answer inquiries, and provide customer service.
Maintain calendars, records, reports, and office files.
Assist with special projects, committee work, and School events.
Process forms requiring the Dean's approval.
Support faculty payroll, Faculty Information Forms (FIFs), overload calculations, payroll corrections, and related records.
Assist with budget monitoring, reconciliations, purchasing, P-card reports, expense reimbursements, and grant tracking.
Coordinate travel arrangements and office supply purchases.
Support community partnerships, affiliation agreements, advisory committees, accreditation timelines, and liability documentation.
Coordinate meetings, prepare materials, record minutes, and assist with School-wide events.
Maintain professional communication, confidentiality, and accurate records.
Perform other related duties as assigned.
Required Qualifications
Associate's degree or equivalent combination of education and experience.
Five or more years of administrative or secretarial experience.
Proficiency with Microsoft Office and general computer applications.
Strong organizational, proofreading, communication, customer service, and problem-solving skills.
Ability to work independently, manage multiple priorities, and maintain confidentiality.
Preferred Qualifications
Experience with PeopleSoft/CWIS, Microsoft Access, web editing, and higher education administrative systems.
Working Conditions
Ability to sit for extended periods and lift up to 25 lbs.
Fast-paced environment requiring strong organizational and interpersonal skills.
Some evening or flexible hours as needed.
