Position Title: Secretary to the Superintendent and Board of Education
Work Period: Full-time, 12-month (260-day) contract beginning with the 2026–2027 School Year
Reports To: Superintendent of Schools
Salary: Minimum $40,000 annually; salary commensurate with education and experience
Benefits: Health insurance and benefits in accordance with the Administrator Contract

Position Summary
The Secretary to the Superintendent and Board of Education provides executive-level administrative support to the Superintendent and Board of Education while ensuring the efficient operation of the Superintendent's Office. This position is responsible for coordinating board operations, managing state and federal reporting, supporting district personnel functions, maintaining compliance with Board policy and state regulations, and serving as a key liaison between the district, staff, families, and the community.
Qualifications:
- Postsecondary training required; Bachelor's degree preferred
- Three (3) or more years of secretarial or administrative experience
- High degree of proficiency in office procedures, typing, bookkeeping, and operation of office equipment
- Advanced computer skills, including experience with:
- Microsoft Office Suite
- Google Workspace
- Spreadsheets and databases
- Email and internet applications
- Skyward Student Information System
- School Messenger
- Michigan Student Data System (MSDS)
- Professionalism, diplomacy, confidentiality, initiative, and excellent customer service skills
- Ability to work effectively with administrators, staff, teachers, students, parents, Board members, and community stakeholders
- Such alternatives to the above qualifications as the Board may find appropriate and acceptable
Primary Responsibilities:
Superintendent & Office Administration
- Manage daily operations of the Superintendent's Office
- Prepare correspondence, reports, agendas, evaluations, purchase orders, and surveys
- Answer phones, greet visitors, and coordinate appointments and meetings
- Register staff for conferences and professional development
- Maintain the district website, School Messenger communications, office calendar, and compliance postings
- Order office supplies and maintain office equipment
- Coordinate incoming and outgoing district mail and maintain records retention
Human Resources Support
- Process new employee onboarding documentation
- Coordinate background checks, PA 189 requirements, SafeSchools training, and exit surveys
- Prepare job descriptions, job postings, contracts, assignment letters, resignation letters, reasonable assurance notices, alarm access, district keys, and compliance documentation
- Assist with Superintendent evaluations and opening day activities for staff
Board of Education Support
- Prepare Board meeting packets, agendas, minutes, resolutions, and supporting documentation
- Coordinate regular, special, committee, and closed-session meetings
- Maintain Board policies, election records, professional development documentation, evaluations, and official records
- Ensure compliance with Board policies and state requirements
State & Federal Reporting
- Prepare, update, and submit required state and federal reports and audit documentation
- Manage reporting through state portals, including but not limited to:
- Student membership
- REP
- CRDC
- Days & Hours
- EEM
- SID
- MIOSHA
- TSDL
- School of Choice documentation
- PICs
- MCIR
- Ensure teacher certification compliance
- Stay informed on legislation affecting state aid and pupil accounting
District Support
- Train support staff on pupil accounting procedures
- Assist administrators and office staff with Skyward Student Management System
- Support beginning- and end-of-year student data processes
- Assist the Business Office with Workers' Compensation claims and documentation
- Coordinate district student insurance information
- Serve as the Local Agency Security Officer for criminal background checks
- Serve as the District McKinney-Vento/Foster Care Liaison
- Perform other duties as assigned
