Position Summary
Journey to Healing, Inc. is a trauma-informed mental health and wellness organization dedicated to supporting individuals and families through counseling, education, prevention, and community-based services. The Program Assistant provides administrative, operational, and participant support to ensure programs are delivered efficiently and effectively.
This position works closely with program staff, facilitators, clinicians, participants, and community partners to coordinate activities, maintain documentation, support outreach efforts, and assist with the day-to-day operations of agency programs.
Essential Duties and Responsibilities
- Assist with program scheduling, coordination, and implementation
- Maintain participant records, attendance logs, consent forms, and program documentation
- Support participant registration, enrollment, and communication processes
- Prepare program materials, supplies, and resources for workshops, groups, and events
- Assist with data entry, outcome tracking, and grant reporting requirements
- Provide administrative support to program staff, facilitators, and leadership
- Respond to participant inquiries and provide professional and courteous customer service
- Support outreach, recruitment, and community engagement activities
- Assist with workshops, support groups, special events, and agency initiatives
- Coordinate communication with participants, families, referral sources, and community partners
- Maintain confidentiality and comply with HIPAA, agency policies, and professional standards
- Perform additional duties as assigned to support agency operations and program success
Qualifications
Preferred Qualifications
- Associate's degree in Human Services, Social Work, Psychology, Business Administration, Public Health, Education, or a related field preferred
- Bachelor's degree in a related field strongly preferred
- One or more years of experience in administrative support, program coordination, healthcare, behavioral health, education, or nonprofit settings preferred

- Strong organizational and time-management skills
- Excellent verbal and written communication abilities
- Proficiency in Microsoft Office, Google Workspace, and electronic record systems
- Ability to manage multiple projects and deadlines simultaneously
- Strong attention to detail and accuracy in documentation
- Ability to maintain confidentiality and professionalism when handling sensitive information
- Ability to work independently and collaboratively within a multidisciplinary team
- Commitment to trauma-informed, culturally responsive, and participant-centered practices
Work Environment
Work may occur in office, school, clinical, community, and virtual settings. Occasional evening or weekend availability may be required to support programs, events, and community outreach activities.
