Position Summary
Journey to Healing, Inc. is seeking a detail-oriented and highly organized Administrative Financial Assistant to support the financial and administrative operations of the organization. This position assists with bookkeeping, financial documentation, grant expense tracking, reporting, and office administration to ensure financial accuracy, compliance, and operational efficiency.
The Administrative Financial Assistant works closely with leadership, program staff, and external partners to maintain financial records, support budgeting activities, process financial transactions, and assist with organizational reporting requirements.
Essential Duties and Responsibilities
- Assist with accounts payable and accounts receivable processes
- Process invoices, reimbursements, payment requests, and vendor documentation
- Maintain accurate financial records and supporting documentation
- Support budget monitoring, expense tracking, and grant-funded expenditures
- Assist with bank reconciliations and financial record reviews
- Prepare and organize financial files for audits, grant monitoring, and compliance reviews
- Support payroll-related administrative tasks and personnel documentation as assigned
- Track expenditures and assist with financial reporting requirements
- Enter and maintain financial data within QuickBooks and other financial management systems
- Maintain electronic and hard-copy records in an organized and secure manner
- Safeguard confidential financial, personnel, and organizational information
- Provide administrative support to leadership and program staff
- Perform additional duties as assigned to support agency operations
Qualifications
Preferred Qualifications
- Associate's degree in Accounting, Finance, Business Administration, Bookkeeping, or a related field required; Bachelor's degree preferred
- Minimum of one year of experience in bookkeeping, accounting support, payroll administration, nonprofit finance, or financial operations
- Experience with QuickBooks preferred
- Experience supporting grant-funded programs or nonprofit organizations preferred
Required Skills and Abilities
- Knowledge of basic accounting principles and financial procedures
- Strong attention to detail and accuracy
- Proficiency in Microsoft Excel, Google Sheets, and financial management software
- Ability to maintain accurate financial records and documentation
- Strong organizational, analytical, and problem-solving skills
- Ability to manage multiple priorities and meet deadlines
- Ability to maintain confidentiality and professionalism
- Strong written and verbal communication skills
Work Environment
This position is primarily office-based and may support both in-person and virtual operations. Occasional evening or weekend work may be required during reporting periods, audits, or special organizational initiatives.
