General Description
The Executive Assistant provides high level administrative, operational and strategic support to the CEO and Sales Director. While primarily supporting the CEO and Sales Director, this role will also serve as a resource to the broader executive leadership team on special projects and enterprise initiatives as assigned. This role manages executive schedules, communications, reporting, project coordination and confidential matters while ensuring alignment, efficiency and follow through across the organization. The Executive Assistant serves as a trusted partner who anticipates needs, removes obstacles and enables leadership to focus on strategic priorities.
Duties and Responsibilities
- Manage complex calendars, scheduling, meeting coordination and travel arrangements for the CEO and Sales Director
- Prepare reports, presentations, board materials and executive level correspondence
- Draft, edit and manage internal and external communications on behalf of executives
- Coordinate leadership meetings; prepare agendas; capture action items; ensure follow through
- Provide executive leadership support on special projects and enterprise initiatives as assigned
- Track divisional metrics, financial reports and operational dashboards
- Support budgeting processes, expense reporting and invoice approvals
- Serve as liaison between executives and internal teams, clients and external stakeholders
- Maintain highly confidential information with discretion and professionalism
- Assist with project management initiatives and cross functional coordination
- Organize customer meetings and executive site visits
- Support and comply with all components of the company’s safety program
- Carry out additional tasks as requested to meet overall objectives of the Taplin Companies
- Knowledge and Skills Requirements

Educational and Certification Requirements
Associate’s or Bachelor’s degree in Business Administration or related field preferred
5 plus years of executive level administrative support experience
