The Payroll Specialist will assist the Payroll Manager with the timely and accurate processing of multiple business locations that include 1300 employees’ weekly, bi-weekly and monthly payroll and reconciling of time cards. The Payroll Specialist will perform various journal entries, account reconciliations and provide General Ledger support. Coordinating the maintenance of individual payroll records, payroll distribution, preparation of year-end tax forms, and Social Security reports will be required. Payroll processing will include multiple pay types, including special pay structures.
The Payroll Speciliast will partner with the Payroll Manager to establish best practices and build an internal structure that supports paying employees. In this role the individual will utilize products and services provided by ADP (Payroll, Timekeeping and HRIS), which
may include implementing payroll system upgrades/enhancements. Tasks include but are not limited to the following -
- Process payroll for domestic, multi-state operations as well as review payroll reports from third party agencies that manage payroll.
- Prepares filing of required reports and/or payments to insurance carriers, other organizations and individual employees.
- Maintains employee payroll records.
- Ensures that all taxes, Social Security contributions, contributions to employee benefit programs and other deductions are withheld from individual paychecks.
- Compile payroll data such as garnishments, vacation time, insurance and 401(k) deductions.
- Process transfer of payroll data which includes the review and approval of payroll deductions.
- Must be able to prepare payroll reports and comply with federal and state tax withholding requirements.
- Must be able to interface with various levels of personnel within the company.
- Must able to work independently and work well in a team environment as necessary.
- Balance and post payroll journals, resolving any discrepancies.
- Process union/nonunion fringe reports.
- Balance W-2 forms and taxes for all affiliates and divisions.
- Prepare and check monthly general ledger journal entries.
- Interprets company policies and government regulations affecting payroll procedures.
- Partner with the Corporate Treasury to generate the appropriate wire transfer documents and monitor that bank transactions are generated in a timely manner.
- Assist in the monthly accounting close processes.
- Provide executive management team with payroll reports and ad hoc analysis.
- Support internal audits, SOX, JSOX compliance processes.
- Facilitate employee understanding of payroll procedures.
- Stay current with laws and regulations to ensure compliance.
- Maintain current on Payroll system to achieve alignment and ensure effective accounting support.
- Other duties, assignments and specific projects may be assigned at the discretion of executive management.
Qualifications include -
- Associates degree in related fields such as Accounting or Business is preferred or equivalent work experience.
- Minimum of 3-5 years of progressively responsible payroll processing experience.
- ADP© WorkforceNow v9.0 experience preferred.
- Must have a strong background in payroll systems, payroll report writing and Microsoft Excel.
- CPP certification preferred, but not required.
- Material Handling/manufacturing company is preferred, but not required.
- Proficiency in Excel.
- Be a strong team player.
- Have excellent interpersonal and communication skills.
- Have the ability to analyze problems and provide problem resolutions.
- Have solid analytical and decision making skills.
- Effective verbal and written communication skills include the ability to present findings in a clear, concise manner.
- Exceptional organization skills with the ability to plan, schedule, meet deadlines in a fast paced environment and work well under pressure.
- Ability to read, analyze and interpret common technical journals, financial reports and legal documents.
- Ability to respond to common inquiries or complaints from employees and regulatory agencies.
Demonstrated Physical Abilities
Remain stationary for 50% of the time; move/traverse throughout the office to access file cabinets and office equipment; operate a computer and other productivity machinery; inspect documents; communicate with others through talking/hearing; read/identify/assess forms and correspondence.
