Requirements
- Requires higher level math skills to prepare timesheets for payroll finalization, maintain position control documents, etc.
- Two (2) years related scheduling experience on a large scale– healthcare industry preferred.
- Associate’s degree or higher in a health-related field preferred.
- A combination of education and experience will be considered.
Summary
- Makes key decisions in determining the daily staffing needs of all shifts using critical thinking skills, based on all information and resources available, including policies, procedures, collective bargaining agreements, and employee FTE status requirements.
- Assigns employees to respective areas based on employee cross-training abilities and departmental needs.
- Proactively selects and communicates with appropriate employees to cover absences/vacancies/vacations to meet staffing needs and recommends overtime/mandatory overtime when appropriate.
- Manages short-notice staffing changes by making appropriate adjustments and completing associated communications.
- Reviews and processes time off requests, ensuring adequate staffing resources for patient/resident care.
- Assembles, adjusts and verifies accurate staffing schedule for shifts and distributes to all necessary individuals and departments.
- Records and tracks time & attendance occurrences.
- Immediately notifies leadership and Human Resources of employee no call, no show.
- Coordinates with payroll employees to accurately reconcile payroll, along with associated incentive pay where indicated.
- Initiates staffing changes as needed and communicates updates; maintains detail-oriented records and prepares various routine and non-routine reports.
- Verifies accuracy of all aspects of employee payroll and approves in payroll system; notifies Human Resources when corrective action is needed.
- Manages scheduling in accordance with holiday and overtime rotations, weekend makeup determination, etc.
- Recommends employee suspension dates to leaders and Human Resources as well as transition dates for staff awarded a new position.
- Establishes and maintains, and updates all necessary staffing, timesheet, and payroll records; classifies sorts and files necessary correspondence, records and other documents for future reference as needed.
- Provides training to employees on scheduling and payroll functions within the Human Resource Information System (HRIS) and associated policies.
- Communicates with Employee Health and Human Resources for employee leave of absence, Paid Medical Leave, Family Medical Leave, and work restriction situations.
- Maintains strict confidentiality of all employee-related information.
- Creates and posts Long Term Care daily staffing report with the Switchboard Operator as required by the State.
- Collaborates with team members to identify and initiate changes to the payroll system as needed.
- Regular and punctual attendance is required.
