Job Title: Project Coordinator
Job Summary: Directs and coordinates day-to-day operational oversight of a variety of technical projects to achieve maximum results. Using project tracking software, obtains sample, initial run, and production quotes from qualified vendors in China; reviews same with management, negotiates with vendors and customers; and coordinates pricing, quantity, quality, and delivery issues with customer.
Main Functions:
• Coordinates a variety (minimum 6-10) technical projects at any one time, of varying complexity, to success completion. Success includes: vendor and customer pricing negotiated within guidelines so that margins are met or exceeded; delivery timeframes met or exceeded; quality specifications met by vendor, etc.
• Based on Model packet received, and using Alibaba ecommerce software of similar, will source a variety of best suited vendor factories which can meet customer product and delivery specs.
• Negotiate with vendors to find best fit in terms of price, quality, quantity, and delivery dates. Prepare presentation for management review on vendor search results.
• Track all projects for key data, including management approval signatures, for periodic review. Key data items will include complete Purchase Orders, drawings, sample parts, tooling, pilot runs, full production run details, timing and delivery, pricing and volume discounts, shipping and logistics (from operations), quality control approvals, etc.
• Ensure delivery dates are met through regular communication with all internal and external parties. Troubleshoot quality, production, delivery issues as they occur through the appropriate channels.
• Attend 2-3 trade shows throughout year. Travel to vendors or customers as necessary.
• Prepare project reports as requested; analyzing and correcting discrepancies.
• May provide budget and forecasting numbers to management in support of short term plans.
• Collaborates with engineers in China regarding vendor choices and quality approvals, keeping them notified throughout the process. Communicate regularly with Sales (President) and Operations (COO).
• Coordinate initial tooling and/or sample piece part payments from customer; payment communications with vendors, etc.
• Monitors and analyzes work to recommend more efficient procedures sand use of resources while maintaining a high level of accuracy.
• Maintain database of vendors and customers with updated accurate information.
• May assist or provide information for the collection of past due receivables.
• Follows all company policies, procedures, and practices.
• Works safety and complies with company safety rules.
• Other duties as assigned.
Requirements and Qualifications:
• Related four year college degree (BS, BA) in Sales, Marketing, Administration, Administration, Engeering disciplines.
• Previous 2-3 years progressive and successful experience with manufacturing sales, sales negotiations, project tracking, reporting, and coordination (and associated software). Experience and/or understanding of product costing ideal.
• Add, subtract, multiply, or divide quickly and correctly. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply concepts of basic algebra and geometry. Requires high accuracy level.
• Using logic and reasoning to identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems.
• Considering the relative costs and benefits of potential actions to choose the most appropriate one.
• Understand written sentences and paragraphs in work related documents.
• Determining how a system should work and how changes in conditions, operations, and the environment will affect outcomes.
• Identifying complex problems and reviewing related information to develop and evaluate options and implement solutions.
• Ability to read CAD drawings.
• Ability to use Project Software (such as Gannt Charts or MS Projects), QuickBooks, and Contact Managementt Software.
• Travel 10-20% overnight including internationally (requires passport).
• Excellent communications orally, via email, presentations, report writing, etc.
• Proficiency with MS Office, specifically Outlook, Word, and Excel.
