Responsible for the day-to-day operation of the college’s shipping and receiving functions. Provides support to the Purchasing Manager as appropriate.
Examples of Duties
- Responsible for all shipping and receiving functions of the college, to include: creating and maintaining a daily log of all goods received or shipped by the college.
- Maintains tracking and monitoring systems for shipping and receiving function, to include: entering all items received into Colleague, compiling daily receiving documents and forwarding appropriate documents to Accounts Payable.
- Monitor, track and inform relevant parties on status of pending shipments, both incoming and outgoing. Sorts and distributes all mail and items received at the college to various departments, including inter-campus mail and deliveries. Maintains a clean and orderly shipping and receiving facility. Initiates troubleshooting and investigative actions in response to problems with shipping and receiving functions.
- Coordinates and maintains departmental inventories as appropriate.
- Provides support and assistance with college purchasing functions, including but not limited to clerical functions and routine purchasing requests. Acts as a backup to the purchasing manager.
- Coordinates College vehicle usage. Performs routine maintenance checks, cleans and washes fleet vehicles on a regular basis and maintains a log documenting such activities. Utilizes the help desk ticket system to schedule vehicles for routine maintenance.
- Develops and maintains excellent public relations through timely and effective communications with all departments, vendors, and the community. Responds courteously to inquiries, provides information within the scope of the duties and responsibilities of the function, and refers inquiries as needed or warranted to other parties.
- Attends and/ participates in departmental meetings, internal committee/task force meetings as assigned; performs related tasks as required.
- Provides input into the development and implementation of departmental objectives, policies, procedures and standards; recommends changes to departmental procedures as necessary to improve the efficiency of the institution’s facilities area goals and initiatives.
- Supports and serves as a role model for our mission, vision, values, and customer service initiatives. Adheres to the organization’s policies & procedures, and compliance guidelines. Ensures compliance with all federal and state regulations regarding any function of the facilities department.
- Performs other duties as assigned.
Typical Qualifications
Education, Certification, Licensure:
- Valid State driver’s license.
- Must be at least 21 years of age.
Experience:
- Previous working experience in a college environment preferred.
Supplemental Information
- Working knowledge of record keeping requirements.
- Strong math skills, to include ability to add, subtract, divide, multiply and develop and use percentages.
- Knowledge of and ability to implement and monitor OSHA requirements preferred.
- Effective interpersonal skills to develop and work collaboratively with internal staff, various departments, and external vendors.
- Written and computer skills necessary to prepare required documentation and reports, to include spreadsheets and reports.
- Interpersonal skills necessary to effectively communicate, orally and in written form, with various constituencies, including students, faculty and administrators, business and industry representatives, and community members.
- Ability to handle, investigate and respond to problem situations in a tactful, courteous and respectful manner.
- Ability to read, speak, write and understand the English language clearly.
