Position Overview
Firma Financial Planning is seeking a professional, detail-oriented, and highly organized Client Relationship Specialist to join our esteemed financial advisory firm. This front-desk role is pivotal in ensuring seamless daily operations and delivering an exceptional client experience. The ideal candidate will exhibit outstanding interpersonal skills, efficiency, and a proactive approach, maintaining the highest standards of discretion and professionalism in a dynamic, fast-paced environment.
Key Responsibilities
* Greet clients and visitors with warmth, professionalism, and discretion, creating a welcoming
office environment.
* Manage and coordinate multiple calendars for financial advisors and staff, scheduling and confirming
client meetings and internal appointments with precision.
* Handle multi-line phone systems, monitor voicemails, and relay detailed messages promptly and
accurately.
* Assist clients in utilizing online tools and virtual meeting platforms to enhance their experience.
* Sort, distribute, and process incoming and outgoing mail daily with efficiency and accuracy.
* Maintain organized digital and physical filing systems for client and firm records.
* Prepare client statements, reports, and other essential documentation for advisor meetings.
* Execute follow-up tasks from advisor-client meetings to ensure timely completion of action items.
* Process client distribution requests in adherence to firm procedures and regulatory standards.
* Proactively contact clients to collect outstanding paperwork and required documentation.
* Maintain a clean, professional, and organized office by wiping down surfaces, restocking supplies,
and performing light cleaning as needed.
* Monitor and replenish office and kitchen supplies to ensure operational readiness.
* Perform additional duties as assigned by financial advisors, in line with firm policies.
Qualifications
* Prior experience in a receptionist, administrative assistant, or office coordinator role; experience
in financial services is preferred.
* Exceptional verbal and written communication skills, with a professional and polished demeanor.
* Superior organizational skills and meticulous attention to detail.
* Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and familiarity with Salesforce or
similar CRM platforms.
* Ability to prioritize and manage multiple tasks effectively in a fast-paced, professional environment.
* Uncompromising integrity and confidentiality when handling sensitive client information.
Preferred Skills
* Experience with scheduling software and advanced calendar management tools.
* Comfort operating in a regulated, compliance-driven industry.
* Demonstrated interest in pursuing a long-term career in financial services.
