Job Summary: Provides administrative support for the High school counseling office.
Essential Duties and Responsibilities:
- Serves as receptionist for the Guidance office by assisting guidance counselors, students and their parents, administrators, staff and the general public.
- Enrolls new students, collects all required paperwork and information, and creates file; assists with count day.
- Inputs all new student immunization records using MICR software to meet state requirements. Generate two yearly reports in November and February.
- Process all drop students, making sure all obligations are met; mailing files to new school as requested.
- Compiles quarterly and semester grades for all academic programs including EFE, EFA and KAMSC. Makes grade changes and transcript updates.
- Assists Principal in count day
- Assists in the scheduling process by creating schedules for KAMSC students and sections for teacher aides. Create and name independent study classes.
- Registers students for PSAT, ACT and AP exams. Collect payment, make deposits and supervise exams.
- Assists in the generation of report cards and checks for accuracy. Distributes report cards each marking period and mails out second parent cards. Sends letters to seniors in jeopardy of not graduating.
- Runs GPA reports and class rankings. Checks for accuracy and corrects for weighted codes.
- Coordinates underclass student awards ceremony by identifying qualified recipients, sending invitations, ordering pins, organizing parent volunteers, procuring speakers and creating the program.
- Orders and maintains office supplies
- Organizes mass mailings for the department
- Performs other duties as assigned

- Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook

Qualifications:
- High school diploma, GED, or equivalent.
- One-year previous office experience.
- Math skills including: addition, subtraction, multiplication and division.
- Computer keyboarding skills, secretarial and clerical skills.
- Ability to operate office machines such as computer, copier, and fax machine.
- Ability to assume responsibility, display initiative, and exercise good judgment.
- Proficient computer and document skills.
- Excellent verbal and written communication skills.
