Summary
Manages the creation, development, coordination, and implementation of NMC Extended Educational Services' (EES) internal operations for the purpose of fulfilling the College's mission of delivering lifelong learning opportunities to transform lives and enrich our communities. This position plays a key role in both optimizing operations and managing the internal functioning of the EES office in order for the programming/marketing/administrative team to optimize efforts for revenue generation as listed in the strategic plan. The position oversees and manages the budget and all associated processes. Manages supplemental workers, student workers, and volunteers. Oversees all aspects of registration and carries out related activities relevant to students, instructors, and the EES team. This includes collaboration and communication with other NMC departments and outside partners and stakeholders. The position oversees customer service and support for the functions within the EES department, including clerical and administrative services, cashiering and communications.
Qualifications
Associates degree (Required)
Minimum of 2 years' experience in office management or a related field (Required)
Proven experience coordinating the work of others (Required)
Proven experience developing new processes (Required)
Basic working knowledge of Google Suite (Preferred)
2+ years of experience managing a budget in a professional setting (Preferred)
2+ years of experience managing people (Preferred)
Fluency in social media platforms and registration or customer management software systems (Preferred)
Associates degree in business field (Preferred)
Essential Responsibilities
• (Critical) Creates and continuously develops processes and workflows within the EES office that improve efficiencies for registration, office operations, and staff.
• (Critical) Manages all activities related to registration; company invoicing and support, refunds, troubleshooting with the registration software provider, teaching students how to register online, and taking phone and in person registrations.
• (Critical) Composes clear and friendly communication; phone, website, chat, text, social media channels, and email.
• (Critical) Responds eagerly and efficiently to instructor inquiries and requests. Once classes are programmed, assumes responsibility for all instructor communication, instructor portal training, and troubleshooting.
• (Critical) Provides customer service to EES students and the community that aligns with our mission and brand. Works to troubleshoot incoming issues and challenges in an effort to provide resolution in a timely and efficient manner. Directs NMC employees, students, and others to appropriate information sources.
• (Critical) Manages all related activities to the budget such as instructor contracts, requests for pay, credit card allocations, internal transfers, requisitions, and financial assistant forms and spreadsheets.
• (Critical) Facilitates regular enrollment meetings for the EES team.
• (Critical) Works closely with and under the guidance of the Marketing & Promotions Specialist to sync office and production operations and processes.
• (Critical) Provides administrative support to the entire EES department
• (Critical) Serves in the front office position as primary person; engage daily with the public through taking registrations and working with instructors.
• (Very Important) Provides leadership and guidance on the development of EES workflow, processes, and other college related topics.
• (Very Important) Provides oversight and direction for supplementals, student workers, and volunteers.
• (Very Important) All cashiering duties; process cash, checks, and credit cards in student accounts; and prepare bank deposits.
• (Very Important) Manages the EES budget and works with the director of EES to develop and maintain spreadsheets, documentation, continuity between accounting codes and portfolios, and continuous improvement in order to meet the strategic plan goal of being net revenue positive.
• (Important) Performs clerical tasks and contacts appropriate organizations (vendors, other departments) to maintain supplies.
• (Important) Attends and participates in NMC and department meetings and events as needed and assigned.
