Summary

Essential Duties and Responsibilities

Maintain an orderly accounting filing system for support documentation.
Manage accounts payable using accounting system and other programs.
Establish and maintain working relationships with vendors and other departments.
Ensure bills are paid timely and accurately while following departmental procedures.
Monitor company accounts payable email account daily and respond promptly.
Record daily transactions, including:
- Cash disbursements
- Credit card activity
- Expense reports
- Labor time tickets
- Monthly ACH transactions
- Vendor invoices
Compare purchase orders, prices, terms of payment, and charges.
Review invoices for satisfactory shipping receipt (POs) or obtain approval.
Verify employee expense reports for accuracy, receipts, and approvals.
Forecast accounts payable payments and print checks.
Maintain Accounts Payable and Unvouchered Payable Ledgers.
Coordinate with departments to resolve invoicing and unvouchered discrepancies.
Oversee RMA process for prompt financial reimbursements.
Reconcile select accounts monthly to ensure accurate reporting and ledger maintenance.
Prepare annual 1099 reporting.
Prepare reports and schedules required by management.
Track and record cost savings (hard and soft) in the system.
Adhere to Quality Systems and participate in continuous improvement.
Maintain regular and predictable attendance.
Follow safety and environmental regulations; identify facility concerns.
Perform other duties as assigned by management.

Supervisory Responsibilities

Manage day-to-day responsibilities of accounts payable staff in the Shared Service Center.

Confidentiality

Handle highly sensitive financial and administrative duties across multiple departments, requiring strict confidentiality.

Education and/or Experience

Bachelor's degree in accounting, finance, or related field and 5+ years of related experience, or equivalent combination.
Experience with general ledgers required.
Skills in interdepartmental collaboration preferred.
