About the role:
The administrative assistant will work closely with the executive assistant and chief of staff to provide exceptional support to the president & ceo, Board of Directors, and affiliated Credit Union Service Organization (CUSO) initiatives. This position will create a "white glove" experience for internal and external guests, supporting high-level scheduling and logistics, assisting with internal communications (including light, audio, and video editing), and ensuring the seamless operation of the executive office environment.
This position has a starting annual rate of $46,800, but your offer amount may be increased with relevant work experience and transferrable skills.
A Day in the life of an Administrative Assistant can look like:
Provide high-touch administrative support to the president & ceo, executive assistant, and chief of staff.
Provide administrative and logistical support by supporting small-scale event planning and execution, handling miscellaneous office tasks and supplies, and maintaining a clean, organized environment for the executive team.
Coordinate hospitality for members of our executive team (eTeam), Board of Directors, and VIP guests.
Serve as the internal office receptionist (non-public facing).
Manage select scheduling, meeting coordination, and calendar updates.
Assist with internal communications from the office of the president.
Support CUSO-related administrative tasks, such as minutes taking and meeting packet.
Ability to work effectively in a matrixed environment, supporting back-up efforts to ensure no single point of failure.
Set up and manage technology for executive meetings, including Zoom and A/V equipment.
Perform other duties as directed by leadership.
What you bring to the table:
High school diploma or equivalent.
0-2 years administrative support experience.
2-4 years of experience in a service oriented field.
Strong organizational, multi-tasking, and time management skills.
Proficiency using Microsoft Office Suite and Adobe Acrobat.
Strong interpersonal and communication skills.
Ability to maintain strict confidentiality, high ethical standard, integrity, and level of professionalism to appropriately handle sensitive information at all times.
Ability to quickly learn and adapt to new tools, technology, and workflows.
You might also have:
Experience in executive support, event coordination, or hospitality management.
Familiarity with CUSO operations or financial services administration.
Skills in light audio/video editing and presentation design tools.
Strong professional writing skills for clear, concise, and effective communication.
