PROJECT COORDINATOR
POSITION SUMMARY
This position is for a full-time Project Coordinator in our Manistee office. This position plays a critical role in assisting Project Managers with schedules and project tasks, report review and processing, preparing contract documents, and assisting with client management.

JOB DESCRIPTION
Spicer Group is looking for a qualified candidate that enjoys working with a team, is very organized, and has excellent communication skills. The team member in this position will provide full-time assistance in an office setting, supporting project managers and supporting staff in the West Shore Region and various Technical Services Groups. This includes preparation of documents, scheduling and attendance at meetings, and other tasks necessary to keep projects and tasks moving forward. This is an in-person position.
KEY RESPONSIBILITIES
Software and Technical Skills
- Advanced knowledge of MS Word, Excel, PowerPoint, SharePoint, and PDF programs, utilizing these programs with speed and accuracy
- Uses MS Teams and Zoom for conducting meetings
- Provides basic technical support for office equipment and software applications used by engineers and surveyors
Organizational and Administrative Skills
- Demonstrates excellent organizational skills and attention to detail, managing tasks efficiently
- Reviews materials prepared by group staff for proper language and grammar, and reviews for completeness and accuracy
- Establishes and maintains project numbering, Vantagepoint entries, correspondence, and data files according to pre-established guidelines
- Prepares standard reports, meeting minutes, spreadsheets, and charts
- Assists with digital preparation of technical specifications and bidding documents, online bidding process, and preparing contracts
- Prepares presentation materials to support Regional or Technical Service Group needs
- Assists with daily office operations, including coordinating schedules, and organizing staff training sessions
- Assists with hosting clients in the office and organizing staff events
- Assists with conference registration for staff members, including travel arrangements
- Maintains recurring internal reports, including staff corporate resumes
Interpersonal and Professional Skills
- Provides full-time assistance in an office setting, supporting project managers and support staff
- Maintains a close and highly responsive relationship with the supervisor and staff
- Required to exercise initiative, judgment, and knowledge of company practices, policies, and organization
- Communicates directly with clients to schedule meetings and for document coordination
Travel Requirements
- Will require occasional travel throughout Michigan

PREFERRED EXPERIENCE
- Minimum 3+ years of clerical/administrative experience in a professional office or related setting or equivalent combination of higher education/experience

- Can demonstrate interpersonal, written, and organizational skills
- Ability to work independently and under deadlines
