Job Summary: Provides administrative support for the High School Principal.
Essential Duties and Responsibilities:
- Generates all purchase orders for teaching supplies, textbooks and office supplies using the general accounting system and online purchase programs; works with vendors, maintains general budget and follows all Business Office procedures.
- Assists Principal in overseeing general building budget, generate budget allocations and transfers, change card use, and reconciliation and monitors petty cash.
- Generates purchase orders for all internal accounts and maintains internal budgets.
- Highly skilled in organization, interpersonal communications, time management skills, bookkeeping, workload prioritization, and customer service.
- Ability and experience in performing duties in following all district requirements and school-board policies, especially those involved with financial responsibilities, pupil accounting policies, and expectations.
- Ability to define problems, and to collect, organize, interpret and report data.
- Maintains Principal’s appointments and calendar. Organize and maintain high school Master Calendar.
- Schedule, type and proof all staff evaluations.
- Organize and maintain the graduation list, order diplomas and oversee the distribution of diplomas.
- Coordinates, processes and distributes all data needed for orientation, open house, 8th grade parent night, staff meetings and other large community events.
- Attends weekly building administrative team meeting; prepare and distribute agenda notes.
- Ability and experience dealing with emergency situations, such as interacting with 911 resources.
- Coordinates catering services for in-house Professional Development workshops, training, office meetings and interviewing teams.
- Organizes the assignment of student lockers and collection of student fines.
- In summer months, assists the Athletic Director periodically, validates and records work permits, produces official transcripts upon request, and monitors textbooks and supplies when delivered.
- Performs other duties as assigned.
- Regular and consistent attendance.
- Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook.

Qualifications:
- Associates degree or equivalent in Business, Administrative Assistant or related field.
- Five years prior office experience, including experience at the high school level
- Proficient computer and document skills.
- Excellent verbal and written communication skills.
- Mathematical skills including; addition, subtraction, multiplication, and division.
- Ability to maintain a high level of confidentiality.
- Ability to maintain calm in high pressure situations.
- Ability to perform duties with awareness of all district requirements and Board Policies.
- Ability to cultivate positive working relationships within and across departments from students to parents, from colleagues to members of our district’s business office.
- Ability to respond to complex questions and refer unusual problems to higher levels.
- Ability to analyze facts and draw valid conclusions.
- Standard office skills including office equipment.
- Experience working in a business environment.
