Executive Partnership & Strategic Support:
- Proactively manage all incoming correspondence, intelligently prioritizing actions and anticipating follow-up needs
- Anticipate and prepare draft communications for confidential and sensitive matters, demonstrating discretion and strategic thinking
- Seamlessly orchestrate complex calendars, travel logistics, and global conference coordination, thinking three steps ahead
- Craft compelling presentations by preparing draft PowerPoint materials for classes, meetings, and high-stakes presentations
- Drive meeting effectiveness by creating comprehensive agendas, curating materials, and ensuring productive outcomes
Communications & Content Excellence:
- Elevate department visibility by partnering with webmaster and communications team member to keep content current and compelling
- Provide expert editorial support through meticulous proofreading and editing of manuscripts, letters, and critical documents
- Capture and communicate key decisions through detailed meeting minutes and actionable summaries
- Represent the department with professionalism and decorum that reflects our commitment to excellence
Operational Excellence & Innovation:
- Optimize operations through thoughtful office management, supply coordination, and space utilization
- Support events working with the Department Operations Administrator
- Identify improvement opportunities proactively, implementing solutions that enhance efficiency and effectiveness
- Embrace special projects with enthusiasm, viewing them as opportunities to expand impact and expertise
- Education & Experience:
- Senior: Bachelor?s degree and a minimum of 5 years of high-level administrative experience, preferably supporting faculty and/or staff leadership in academic or research environments or an equivalent combination of education and experience
- Intermediate - Bachelor?s degree and a minimum of 3 years of high-level administrative experience, preferably supporting faculty and/or staff leadership in academic or research environments or an equivalent combination of education and experience
- Communication Excellence: Exceptional written and verbal communication skills with demonstrated expertise in proofreading, editing, and professional correspondence
- Organizational Mastery: Proven ability to juggle multiple priorities while maintaining attention to detail and meeting deadlines
- Technical Proficiency: Advanced skills in Microsoft Office Suite, Zoom, calendar management tools, and willingness to learn new technologies
- Logistics Expertise: Experience coordinating complex travel arrangements, event logistics, and ensure timely processing of reimbursements in accordance with the University of Michigan Standard Practice Guide
- University Knowledge: Familiarity with University of Michigan systems, procedures, and culture
- Research Environment Experience: Background supporting faculty or leadership in research-intensive settings
- Academic Publishing: Knowledge of manuscript preparation and academic publication processes
- AI Proficiency: Basic understanding of leveraging AI tools for drafting communications and document summarization
