Job Summary: Provides administrative support for the Middle School Principal.
Essential Duties and Responsibilities:
- Greet and assist the general public, parents, teacher and students.
- Answer multi-line phone system: direct calls and delivers messages to proper personnel/location.
- Acts as lead secretary for the building. May oversee duties of other secretarial personnel.
- Manages office communications in person by greeting and assisting the general public, parents, teacher and students; by phone taking and delivering messages for staff and students, and by fax and email to parent teacher and liaison officer.
- Processes purchase orders and requisitions for supplies, services and repairs. Verify receipt of orders and process for payment. Resolve problems and reconcile credit card statements.
- Performs bookkeeping duties such as balancing internal accounts, preparing budget reports, banking and deposits of petty cash. Disburses, maintains, and audits the school accounts, including teacher supplies.
- Schedule substitute teachers, completes required forms, and completes absence reports.
- Assists with in-house publications.
- Maintains and organizes office filing system and maintains master calendar of school events.
- Monitors internal accounts, makes deposits, prepares budget transfers and monitors credit card.
- Coordinates parent teacher conferences twice yearly.
- Assists as a member of the Crisis Team and updates procedures for all students and substitutes.
- Plans and purchase food items for staff meetings such as Professional Development and Grade Level meetings.
- Responsible for ordering, filling and depositing monies for school vending machines.
- Maintains MIOSHA and employee accident reports.
- Performs other duties as assigned.
- Regular and consistent attendance.
- Must have knowledge of and comply with the policies and procedures contained in the Portage Public Schools Employee Handbook.

Qualifications:
- Associates degree or equivalent in Business, Administrative Assistant or related field.
- One to Three years prior office experience.
- Proficient computer and document skills.
- Excellent verbal and written communication skills.
- Mathematical skills including; addition, subtraction, multiplication, and division.
- Ability to maintain a high level of confidentiality.
- Ability to perform duties with awareness of all district requirements and Board Policies.
- Ability to respond to complex questions and refer unusual problems to higher levels.
- Ability to analyze facts and draw valid conclusions.
- Standard office skills including office equipment.
- Ability to cultivate positive working relationships within and across departments from students to parents, from colleagues to members of our district’s business office.
